Events & Promotions Coordination:
• Support team to ensure the successful planning and running of events and promotions.
• Liaise with vendors, exhibitors, and stakeholders during the planning process to ensure everything is in order.
• Communicate with the agency team to drive effective marketing for each event.
• Join in all event and promotion operations; set-up, tear down, and follow-up processes.
• Book venues, promotions girls, contractors, entertainers, photographers, and schedule speakers as direction.
• Research vendors with the best combination of quality and cost and negotiate to achieve the most favorable terms.
• Conduct site visits in advance with key venue and client contacts to make sure expectations are clear
• Complete final inspections on the day of the event, or promotion, to ensure everything adheres to the client’s and venue’s standards.
• Anticipate and plan for different scenarios, oversee event happenings and act quickly to resolve problems.
• Assess an event’s overall success and submit findings.
• Work with the warehouse team to keep track of agency event merchandise and equipment
• Visit the warehouse when needed to check stock levels of merchandise and equipment and report any items that need repairing or replacing in advance of events.
• Work with the Account Manager and Finance Team to produce agreements and documents for clients
• Work with the Account Manager and Finance Team to issue invoices for clients and keep track of each project P&L budget if any.
• Support the agency team with adhoc tasks and duties relevant to the role and agency commitments
• Have background in Marketing/Event Management/Public Relation/Business Administration or related majors.
• Experience in running/ organizing events is a plus.
• Good communication by English.
• Flexibility and adaptability in a fast-paced environment.
• Positive attitude and willingness to learn.
