Job Summary:
The Assigned Secretary will provide high-level administrative support to company Managers by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The ideal candidate will be highly organized, able to multitask effectively, and possess excellent communication skills.
Key Responsibilities:
- Manage and maintain Managers' schedules, appointments, and travel arrangements.
- Arrange and co-ordinate meetings and events.
- Record, transcribe, and distribute minutes of meetings.
- Monitor, respond to, and distribute incoming communications.
- Prepare and edit correspondence, communications, presentations, and other documents.
- File and retrieve documents and reference materials.
- Conduct research, collect, and analyze data to prepare reports and documents.
- Manage and maintain schedules, appointments, and travel arrangements.
- Handle confidential documents ensuring they remain secure.
- Prepare invoices, reports, memos, letters, financial statements, and other documents.
- Coordinate project-based work.
- Review operating practices and implement improvements where necessary.
- Able to travel in indonesia or overseas
- able to translate documents
Qualifications and Skills:
- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of entire MS Office suite.
- Ability to organize a daily workload by priorities.
- Must be able to meet deadlines in a fast-paced quickly changing environment.
- A proactive approach to problem-solving with strong decision-making skills.
- Professional level verbal and written communications skills in English
