We're looking for Executive Secretary to join our CEO Office team. This role involves efficiently managing the CEO's calendar, building strong relationships with internal and external stakeholders, and collaborating on special projects aligned with the CEO.
In this role, you'll be doing :
- Efficiently coordinate and manage the CEO's intricate calendar, encompassing scheduling of meetings, events, and travel, while taking into account time zones and travel preferences; additionally, conduct proactive research and planning for travel itineraries,
- Responsible for venue booking, pre-meeting preparation, including agenda creation and distribution of materials and presentations, active participation in meetings, minute-taking, and diligent follow-up on action items as required.
- Cultivate robust relationships and engage with both internal and external stakeholders, encompassing partners, clients, investors, while upholding a professional representation of the CEO's office and ensuring the utmost confidentiality in sensitive affairs.
- Collaborate on special projects that align with the CEO's vision and initiatives, contributing to the company's overall success
- Perform ad hoc tasks and responsibilities to support the CEO's productivity and effectiveness.
- Maintain Accurate and accesible files and records.
- Oversee office supplies, equipment, and facilities.
- Complete assigned projects efficiently
Requirements :
- Previous experience working in top manufacture company will be given preference.
- Have a minimum of 3 years of experience as an Executive Secretary supporting Board Directors in a corporate environment.
- Excellent written and verbal English and Mandarin communication skills are essential.
- The candidate must be able to communicate with internal and external stakeholders at all levels effectively.
- Attention to detail and accuracy.
- Ability to maintain confidentiality.
- Adaptability to changing priorities.
- Problem-solving and critical thinking skills.
- Effective interpersonal skills collaboration.
- Proficiency in Microsoft Office suit.
