About the Role
We are looking for a meticulous, organized and adaptable Sales Administrator based in Jakarta, Indonesia. In this role, you’ll be pivotal in managing sales operations, from processing orders and handling invoices to maintaining our inventory with precision and efficiency to ensure smooth transactions and satisfied customers. By liaising with customers, vendors, and internal teams, you'll uphold our commitment to quality service. Your involvement in telemarketing will further our reach, introducing potential customers to Pawprints and our products. This position offers the opportunity to grow professionally and make a significant impact in a thriving pet food company.
Responsibilities
- Efficiently process and manage sales orders and purchase orders.
- Accurately issue sales transaction invoices and verify orders, ensuring all customer and vendor information and payment details are correct.
- Assist in drafting and preparing sales contracts and agreements.
- Diligently enter and update customer information, sales data, and order specifics in our accounting and inventory system.
- Monitor and track order statuses, proactively communicating updates to both customers and the sales team.
- Regularly engage with customers to resolve queries and gather necessary information, enhancing customer relations.
- Maintain a precise and up-to-date database of sales and customer records, contributing to our data integrity.
- Develop insightful monthly sales reports, analyzing sales targets and key performance indicators (KPIs).
- Collaborate closely with the Manufacturing, Distribution and Logistics teams to guarantee timely deliveries and expedite orders when needed.
- Provide valuable stakeholder feedback to relevant departments, fostering continuous improvement.
- Manage and update inventory records, including inbound and outbound stock, and optimize inventory turnover.
- Coordinate with the marketing team to ensure the availability and distribution of promotional materials.
- Actively participate in telemarketing efforts, promoting our products and outreach to potential customers.
- Support the sales department with various administrative tasks as required and undertake additional duties as directed by the Sales Manager.
Job Requirements
Basic Requirements
- High school diploma or SMK.
- An associate’s or bachelor's degree in business administration or similar preferred.
- Previous experience in sales administration, or a similar role.
- Exceptional interpersonal and customer service skills.
- Strong organizational and multitasking skills.
- Experience with software such as Odoo, Jurnal (MEKARI), HubSpot CRM, Freshsales, or similar.
- Advanced knowledge of administrative recordkeeping.
- Familiarity with sales reports and sales records.
- Proficiency with Microsoft Office, Google Workspace and Spreadsheet software.
- Strong communications skills in writing, speaking and presenting in Bahasa Indonesia and English.
- Energetic, open-minded and loves animals.
Preferred Requirements
- Previous experience in sales administration, or a similar role at FMCG company.
- Excited to work in a start-up environment.
