Job description for Executive Assistant at Nawatech
We seek a highly skilled and organized Executive Secretary to join our team. As an Executive Secretary, you will support our executives and leadership team administratively. The ideal candidate must be detail-oriented, proficient in Microsoft Offices and other essential applications, and possess exceptional communication skills.
What you will do:
- Provide and maintain administrative assistance to Executives, including managing schedules, appointments, board meetings, conferences, etc. Applied for both internal as well as external parties.
- Prepare and drafting correspondence, reports, memos, and presentations.
- Handle sensitive information with confidentiality and professionalism.
- Manage information flow in a timely and accurate manner.
- Attend meetings, take minutes of meeting and prepare deck for meeting or when required.
- Make travel and accommodation arrangements.
- Rack daily expenses and prepare daily/weekly/monthly/quarterly reports.
- Keep electronic and physical records to ensure that information is well-organized and easily accessible.
- Perform additional assignments and responsibilities as assigned.
What you will need:
- Min. 5 years of relevant experience (personal assistant/executive secretary/business or similar role).
- Min. Diploma degree.
- English proficiency (written and verbal).
- Excellent organizational skills, good communications skills, multitasking, and detail-oriented skills, and ability to work with people of all levels.
- Ability to work independently as well as team player with a “can do” attitude.
- Ability to effectively manage multiple tasks, work to deadlines, prioritise and juggle between tasks, solve problems, and work effectively under pressure.
- Ability to function well in a high-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with virtual meeting platforms and scheduling software.
- Plus: Public speaking, presentation, interpersonal, and networking skills.
