Job description for HR Admin Executive at HR2B
- Complete ownership of all HR Administration activities including employee onboarding/off-boarding, employee orientation, probation assessment process, resignation/termination process.
- Provide support and advices relating to HR policy, employee benefits and other matter to employees.
- Manage vendors for monthly Payroll, PIT declarations and Finalization. Ensure the compliance with local regulations in terms of labor registration, periodical reports, SMUI, Tax.
- Update &consult management any changes in regulations on labor, SMUI, visa, etc.
- Deal with grievances independently and get instruction from regional HRBP/ HRD when needed.
- Work closely with regional HRBPs and coordinate with HR team for any matters relating to HR.
- Co-ordinate with other teams such as Recruitment, Talent, QRM, Tax, IT and DTC Mobility team.
- Ensure the alignment among teams.
- Be a member in BCP team and act/assist in the event of pandemic or emergency (e.g Covid-19 pandemic).
- Coordinate and assist in annual internal audit.
- Employee data management /Preparation of periodic HR and ad hoc reports.
- Ensuring records and data are always accurate and updated.
- Handle visa, work permit, temporary resident card, accommodation and transportation for expats.
- Involve in any ad hoc HR internal project.
- Organize country social activities & involve in regional events if any (e.i All Hands Meeting).
- Coordinate and support training activities (regional and country trainings).
- Manage daily office operations: ensure facilities, working tools (laptop, business card, access card, taxi card), stationeries are provided for employees.
- Manage office equipment: maintain and repair if needed.
- Manage suppliers/vendors lists (hotels, apartments, visa and travel agents, etc.)
- Coordinate to get documents (including contracts, SOW, NDA, etc) signed by the legal representative and stamped; Photocopy & scan and send to respective stakeholders.
- Track and renew the Insurance vendor when needed (Public Liability, Property and Business Interruption).
- Support IT tasks following instruction.
- Other duties: contract translation, office renovation, etc.

- Previous HR operations experience of at least 3 years in multinational companies
- Strong knowledge of Vietnam Labor Law and HR best practices
- Strong interpersonal and communication skills
- Fluent written and spoken English
