Company overview
Visual Ennode is a Korean-headquartered architectural CG and visualization studio with a production office in Ho Chi Minh City. We produce high-quality 3D renderings, animations, and visual content for Korean architectural and real estate clients. Our HCMC office currently has 16 team members and is growing steadily.
The CEO is Korean and splits time between Korea and Vietnam. The HR & Admin Officer will be the primary HR person in the Vietnam office, reporting directly to the CEO.
Position summary
• Position title: HR & Admin Officer
• Reports to: CEO (direct)
• Location: Ho Chi Minh City, Vietnam (on-site)
• Team: Works alongside 1 HR/Admin Assistant
• Employment type: Full-time, fixed-term contract (12 months, renewable)
What we're looking for
We need someone who can independently run HR and office administration for a 16-person creative studio. This is not a specialized HR role — you will handle recruitment, payroll coordination, labor contracts, employee relations, office management, and government compliance. You will be the go-to person for everything people-related when the CEO is in Korea.
The ideal candidate is a hands-on generalist who has done this before in a small company — not someone from a large corporation looking for a narrow, specialized role.
Requirements
Experience
• 3 to 5 years of HR and/or admin experience
• At least 2 years in a company with 10 to 50 employees, handling multiple HR functions alone or with minimal support
• Hands-on experience with: recruitment (end-to-end), labor contracts, social insurance (BHXH), PIT declarations, payroll coordination, and office administration
• Experience working with external accountants or outsourced payroll services
Skills & knowledge
• Working knowledge of Vietnamese Labor Code, social insurance regulations, and PIT
• Business-level English — must be able to communicate with CEO via chat, email, and calls in English daily
• Proficient in Microsoft Office (Excel, Word) and common HR/admin tools
Personal qualities
• Can work independently and make decisions when the CEO is not in Vietnam
• Comfortable being direct — able to deliver difficult messages to employees when needed
• Strong sense of confidentiality, especially regarding salary and employee information
• Detail-oriented and organized — able to manage multiple tasks without dropping things
• Comfortable in a young, informal office environment (average age ~26)
Strong plus (not required)
• Experience in a Korean, Japanese, or other foreign-invested company
• Experience in architecture, design, or creative industry
• Experience handling work permits or legal representative procedures
• Basic Korean language ability
Key responsibilities
HR operations (60%)
• Manage full recruitment cycle: job postings, CV screening, interview coordination, offer negotiation, onboarding
• Coordinate monthly payroll with external accounting firm — attendance data, deductions, overtime, bonuses
• Handle social insurance (BHXH/BHYT/BHTN) registration, monthly reports, increase/decrease declarations, and employee claims
• Draft, renew, and manage labor contracts and contract annexes
• Manage employee records — contracts, personal files, performance records, warning letters
• Handle employee relations: listen to concerns, mediate conflicts, enforce company policies
• Support quarterly performance reviews using the company's KPI framework
• Ensure compliance with Vietnamese Labor Code and internal company regulations
• Manage offboarding: resignation processing, final payments, social insurance book closure, exit procedures
Administration (30%)
• Manage day-to-day office operations: supplies, equipment, vendors, maintenance, utilities
• Control office expenses and manage admin budget
• Coordinate with external service providers: accountants, lawyers, landlord, cleaning, security
• Organize company events, team activities, and internal communications
• Handle government-related procedures: business license updates, labor reports, tax office correspondence
CEO support (10%)
• Act as the CEO's operational representative in Vietnam during his absence
• Provide regular updates on office status, employee matters, and any issues requiring attention
• Support legal and corporate matters as directed — including legal representative transition currently in progress
Compensation
• Salary range: Gross 15,000,000 — 25,000,000 VND / month (based on experience)
• 13th month salary
• Social insurance, health insurance, unemployment insurance as per law
