POSITION PURPOSE
- Support Asia HR Operations and the START transition project team by maintaining accurate employee master data and responding to project-related administrative/data requests in a timely manner
- Ensure data integrity and process compliance, providing primary support for manual HR data updates across finance-related downstream systems (e.g., payroll, expense and travel systems) during the START transition
RESPONBILITIES
A. HR Data Management
- Extract, compile, and validate employee data from HR systems (e.g., SuccessFactors, P2U)
- Perform data entry, updates, and clean-up for:
- Cost center changes
- Bank account details
- Employee master data updates
- Ensure consistency of data across HR and downstream systems (e.g., payroll, finance)
- Perform data checks to identify errors or inconsistencies
B. START Project Support
- Support START project team on data and administrative requests
- Prepare standard data templates, reports, and files as required
- Consolidate employee data across Asia countries for reporting and submissions
- Follow up on missing or incomplete data with country HR Ops and relevant payroll/finance contacts
- Track and monitor request status and progress
- Escalate any issues or data gaps
- Perform other related ad-hoc duties as assigned
C. Finance Downstream Support (during START transition)
C1. Payroll (P2U) – Mass Update Support
- Prepare employee data changes related to cost center updates
- Submit updates to payroll vendor via email (based on template)
- Ensure submissions are:
- Accurate
- Complete
- Sent on time based on cut-off
- Track submission status and follow up where needed
C2. Concur (Expense System) – Manual Update Support
- Support manual data submission (Excel file) to Concur team
- Handle exception cases:
- Prepare request details
- Submit via email or ServiceNow (SNOW)
- Track all updates and exceptions for audit purposes
C3. Coupa – Follow-up & Issue Support (if required)
- Support similar activities as Concur where applicable
- Identify and flag any:
- Mapping gaps
- Missing data
- Escalate issues to HR Ops / Finance for clarification
C4. Travel System (Egencia / Local) – Request Support
- Prepare and submit cost center update requests (if applicable by country)
- Follow the existing request process (email-based)
- Track request status and follow up if needed
C5. Cross-System Responsibilities (Very Important)
- Ensure consistency of employee data across:
- SuccessFactors
- Payroll
- Concur
- Other downstream systems
- Perform basic data checks before submission
- Highlight any:
- Mismatches
- Missing fields
- Mapping issues
ESSENTIAL QUALIFICATION, SKILLS AND EXPERIENCE
Education & Experience
- Diploma or Degree in HR, Business Administration, or related field
- 0–2 years’ experience in HR administration/operations, shared services, or data processing (internships/contract roles welcome)
- Fresh graduates with strong Excel/data skills and attention to detail may be considered
- Exposure to HR systems (e.g., SuccessFactors) and supporting project/data requests is an advantage
Skills & Competencies
- Strong attention to detail and accuracy with employee data
- Intermediate Excel skills (filter/sort, data validation, basic formulas; lookup and pivot table skills are an advantage)
- Able to work with large datasets and perform basic data quality checks (completeness, accuracy, duplicates)
- Comfortable learning new systems and following SOPs/templates for data updates and submissions
- Organized and able to prioritize multiple requests, working under guidance in a structured environment
- Able to track requests, maintain logs/trackers, and meet cut-off timelines
- Clear written communication and confidence to follow up on missing/incomplete data with stakeholders
- Able to use English for email communication and data coordination across Asia stakeholders
