Job description for Executive Secretary / Personal Assistant at Wizlink Consulting Pte Ltd
- Maintain executive’s agenda and assist in planning appointments, meetings, conferences etc.
- Attend meetings and compile, transribe and distribute minutes of meetings
- Receive and screen phone calls and redirect them when appropriate
- Handle and distribute all outgoing or incoming correspondence (e-mail, letters, faxex, packages etc.)
- Support executive with data entry
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Prepare invoices or financial statements and provide assistance in bookkeeping
- Monitoring office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research, compile data and prepare presentations or reports as assigned
- Candidate must possess at least a GCE 'A' Level or Professional Certificate/NiTEC in Business Studies/Administration or Private Secretariat Certificate or equivalent
- Proficient in Microsoft Office applications
- Efficient, organized and ability to plan ahead and manage/keep track of schedules
- Mature and meticulous
- Pleasant personality with good interpersonal and organizational skills
- Strong command of spoken and written English
- High integrity and reliability in handling confidential information.
- Able to work beyond normal working hours if needed
