I. JOB DESCRIPTION:
1. Clinic Operations: 40%
- Coordinate daily clinic operations to ensure efficient workflows and smooth execution according to plan.
- Monitor appointment schedules, booking status, and support manpower allocation based on customer
volume.
- Collaborate with doctors, nurses, receptionists, coordinators, and X-ray departments to ensure seamless
service delivery.
- Support the handling of operational issues and customer feedback during daily operations.
- Monitor service quality and propose improvements to operational processes.
- Support the implementation of corporate health check-up programs and ensure operations are carried
out on schedule.
- Ensure compliance with internal regulations, service standards, and clinic operational procedures.
- Prepare periodic operational reports as required by management.
- Investigate the causes of complaints and provide explanations and corrective solutions.
2. Team Coordination: 30%
- Support the guidance and training of new employees on operational procedures.
- Monitor team performance and report to direct management.
- Support task assignment and manpower coordination when necessary.
- Collaborate with other departments to ensure work is handled quickly and efficiently.
3. Other Responsibilities: 20%
- Proactively propose solutions to improve operational efficiency and customer experience.
- Support management in process improvement projects and internal operational activities.
- Perform other duties as assigned by supervisors.
4. Perform other tasks as assigned by the direct manager: 10%
II. REQUIREMENTS:
- College or Bachelor’s degree.
- Minimum 1–3 years of experience in clinic operations, hospital operations, or customer service.
- Experience in coordinating corporate health check-up programs is preferred.
- Strong organizational, coordination, and problem-solving skills.
- Ability to work under pressure in a fast-paced and multitasking environment.
- Good communication and teamwork skills.
- Responsible, proactive, and detail-oriented at work.
- Proficiency in English and/or Japanese is an advantage.
- Proficient in Microsoft Office and basic reporting skills
