KEY RESPONSIBILITIES:
HR Operations & Employee Lifecycle (35%)
- Handle and manage HR documentation, including labor contracts, probation agreements, confirmation letters, HR letters, and employee records.
- Ensure onboarding and offboarding procedures are completed smoothly and in compliance with company policies and labor regulations.
- Track employee attendance, annual leave, timesheets, and related HR data.
- Support performance review and appraisal processes by coordinating schedules and documentation.
- Assist employees with HR-related inquiries, company policies, labor contracts, insurance, and internal procedures.
- Maintain and update employee information and HR reports.
Compensation & Benefits (20%)
- Coordinate social insurance, health insurance, and related employee benefits in accordance with Vietnamese labor law.
- Support payroll preparation by checking attendance, leave records, and related HR data before submission to Accounting.
- Prepare HR reports and support monthly/periodic reporting to management.
- Support implementation and communication of HR policies, procedures, and employee benefits.
Administration & Office Support (25%)
- Support office administration tasks including office supplies, equipment issuance, expense tracking, and vendor coordination.
- Prepare payment requests and administrative reports when required.
- Support logistics and operational arrangements for internal events and company activities.
- Handle additional HR/Admin tasks assigned by management.
Recruitment & Onboarding Support (10%)
- Support recruitment operations including interview coordination, onboarding preparation, and candidate communication.
- Conduct orientation sessions for newcomers and help employees understand company culture, HR policies, and internal regulations.
- Collaborate with Hiring Managers and HR team to ensure a smooth onboarding experience.
Internal Communication & Employee Engagement (10%)
- Coordinate internal communication activities and employee engagement programs.
- Work closely with the Internal Communication team to organize company activities such as happy hours, birthdays, team building, company trips, mini-games, and internal events.
- Support building a positive, collaborative, and employee-friendly working environment.
- Act as a communication bridge between employees and management when necessary.
REQUIREMENTS:
- Minimum 4–5 years of experience in HR & Administration, preferably in IT outsourcing or software development companies.
- Good understanding of Vietnamese Labor Law, HR operations, and employee relations.
- Strong communication and interpersonal skills with the ability to work effectively with employees across departments.
- Experience in onboarding, HR operations, internal communication, and office administration.
- Well-organized, proactive, and capable of handling multiple tasks simultaneously.
- Good problem-solving and coordination skills.
- Good command of English is a strong advantage.
- Proficient in Microsoft Office, Google Workspace, and digital collaboration tools.
Nice to Have
- Experience in employer branding or employee engagement activities.
- Experience working in fast-paced IT environments.
- Familiarity with HRM systems, payroll coordination, or C&B processes.
- Ability to contribute ideas for improving HR workflows and employee experience.
