We are looking for a Admin & Legal Intern to join the kobi team's lighting journey in Ho Chi Minh, Vietnam for a 6-month internship!
What You'll Do:
Contribute to kobi lighting studio’s smooth operations through efficient management of administrative and legal procedures within an international design environment.
In this role you will:
- Monitor and verify working timesheets and maintain accurate HR records.
- Support the preparation and follow-up of Work Permits, Business Visas, and Temporary Residence Cards (TRC) for foreign employees.
- Organise and update administrative archives and company databases to ensure compliance and accessibility.
- Ensure efficient sourcing and purchasing of office equipment, supplies, and essential items to support daily operations.
- Request and compare quotations, follow up on purchase orders and coordinate with suppliers.
- Record and classify invoices and expenses, ensuring accurate tracking in collaboration with the accounting department.
- Assist with basic review of project contracts, NDAs, and meeting minutes.
- Assist in preparing contracts with the company’s suppliers.
- Ensure compliance for all contracts and legal documents.
- Provide translation support (VN/EN).
- Represent the company in administrative errands: government offices, notaries, and other official institutions.

Requirements:
- We value skill and care more than diplomas. You may be a great fit if you have:
- Strong organizational and multitasking skills with attention to detail.
- Ability to manage administrative tasks efficiently and meet deadlines.
- Detail-oriented and reliable, with strong organisational skills
- Fluency in English and Vietnamese (French is a plus)
- Familiar with Google Suite, Office 365
- Background in law, business, or public administration preferred
- Flexibility and adaptability in a multicultural, fast-paced work environment.
- Problem-solving mindset and willingness to learn.
