A. Role and Responsibilities:
- 60% Admin:
- Document & Seal Management: Safeguard and organize company documentation and ensure the proper utilization of company seals in compliance with both Vietnam regulations and company policies.
- Administrative Documentation: Ensure timely creation and implementation of administrative documents.
- Budget Oversight: Regularly monitor and record overheads such as courier services, office lease, parking fees, telecommunication expenses, and stationery.
- Logistical Coordination: Oversee travel arrangements including transport reservations, hotel accommodations, and flight bookings.
- Team Engagement: Plan and execute team building events, celebratory occasions, and holiday festivities.
- Office Operations: Supervise day-to-day office tasks and administrative activities.
- Financial & Admin Liaison: Serve as the primary contact for the parent company on financial and administrative topics.
2. 40% HR:
- HR Documentation: Implement and maintain human resources documents.
- Timesheet Management: Oversee daily timekeeping and maintain up-to-date personnel files.
- Confidentiality Assurance: Safeguard personnel records, ensuring discretion and privacy.
- Recruitment Assistance: Preliminarily assess job applicants and coordinate interview schedules.
- Employee Integration & Exit: Handle the comprehensive onboarding process for new hires and smoothly facilitate the off-boarding of departing employees.
B. Requirements:
- A minimum of 1-3 years of experience in both administrative and HR roles, ideally within the service/trading sector;
- Fluency in both English and Vietnamese;
- Proficiency in Microsoft Office Suite;
- Capability to thrive in high-pressure scenarios and meet tight deadlines;
- Strong sense of accountability with a proactive approach to providing company feedback;
- Detailed-oriented with exemplary organization skills.
