Job description for Personal Assistant to CEO at BIASA Group
- Taking care of various CEO administrative and organizational details meticulously.
- Scheduling meetings, taking notes and handling correspondence on behalf of managers
- Acting as the first point of contact for callers, dealing with emails, letters, and phone calls by responding, passing on messages, or highlighting them for CEO’s attention
- Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
- Make travel arrangements and visa arrangements. Arrange accommodation and, occasionally, travel with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
- Devising and maintaining office systems, including data management and filing.
- Handle confidential documents ensuring they remain secure.
- Conduct research and prepare presentations or reports as assigned.
- Reminding the manager/executive of important tasks and deadlines
- Working and communicating with any party related to CEO’s personal matters.
- Miscellaneous tasks to support CEO, which will vary according to the sector and to the manager’s remit, e.g. completing some data analysis or marketing reporting (to ensure that the business is being run properly).
- Degree in business administration or relative field.
- Proven experience as executive secretary or similar administrative role for +2 years.
- In-depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry.
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities (writing and speaking)
- Integrity and confidentiality.
