Job description for OPERATION SERVICES ADMIN at WEALLNET

As Operation Services Admin you make the all department function on a daily basis. You’re a communication channel between departments, a translator, a time manager and a caretaker of costs, workflow and troubleshooting. Also a listening ear and a supporting voice.
Accountabilities
• Attending weekly 'Operations' meeting to assess the week ahead and to go through live projects and identify any issues
• Resourcing creative teams for all projects in conjunction with Creative Directors and project leaders
• Traffic-ing workflow throughout all departments
• Having an awareness of overall agency work-flow and anticipating problems and creative requirements accordingly
• Advising project leaders on time allocations and monitor actual time against bookings
• Growing freelance database, setting up freelance staff on new projects, ensure their contracts in place
• Finding, interviewing, recording potential new freelancers/suppliers and negotiating rates
• Helping find new interns, setting up new team members, connecting with recruitment agencies
• Developing better work practices where applicable and keeping abreast of new systems, technologies
• Working with and helping to evolve, existing management systems
• Overview of purchase order process and manage all local marketing or internal collateral
• Supporting sales and account team during client’s process, and KOL booking
• Keeping a finger on the pulse of the team and supporting management team with 'people' issues
• Work with colleagues, networks and communities to identify, map and approach KOL/Creator prospects
• Manage a growing portfolio of warm leads and book qualify appointments (clients, partners and KOLs)
Requirements
• You have a knack for digital thinking and constantly research tech trends, demonstrated by your development experience.
• You’re experienced in providing quick ballparks and accurate project estimates, clearly defining the scope and underlying assumptions.
• As a start-up company we expect you to go above and beyond what is required on the JD. Be proactive and embrace challenges as opportunities. There may times occasionally where you may be asked to stay back or come in on weekends.
Supporting CEO and COO
• Regular meetings to translate and ensure quality, workflow, morale etc. are in good order
• Keeping COO informed of any issues via regular catch-up sessions and during monthly review process

  • You have a knack for digital thinking and constantly research tech trends, demonstrated by your development experience
  • You have knowledge in providing quick ballparks and accurate estimates, clearly defining the scope and underlying assumptions
  • Awareness of latest industry developments and trends
  • As a start-up company we expect you to go above and beyond what is required on the JD. Be proactive and embrace challenges as opportunities. There may times occasionally where you may be asked to stay back or come in on weekends

• You will have a minimum of 3 years’ experience and are bilingual in your native Vietnamese and English
