ECG is an emerging eyewear company in Vietnam, operating across premium eyewear distribution, in-house brand development, and retail. We are a small but ambitious team, committed to building a strong and dynamic organization from the ground up. We are looking for a hands-on accountant to help establish our financial foundation and grow with us.
Job Summary:
The Product & Warehouse Executive is responsible for executing standard operating procedures within the warehouse, managing product data on the inventory system, ensuring quality control for incoming and outgoing eyewear products, coordinating domestic and import logistics, and handling related administrative paperwork to ensure smooth supply chain operations.
Key Responsibilities:
1. Inventory System & Product Data Management
- Create new product profiles with comprehensive specifications (SKU, brand, material, frame/lens details) on the warehouse management software.
- Print and apply product barcodes/tags according to import and export requests, ensuring strict compliance with brand guidelines.
- Input, verify, and archive all shipping data, delivery notes, and digital inventory records.
- Control and manage outgoing commercial invoices (VAT invoices).
2. Quality Control & Warehouse Operations
- Perform strict quality control (QC) on eyewear products during the inbound process; identify and report manufacturing or shipping defects immediately.
- Double-check and verify product quality and quantity before outbound dispatch.
- Print master picking lists and delivery notes for wholesale distributors, retail boutiques, and the Sales team.
- Execute and track specialized programs or promotions applied to wholesale and retail delivery notes.
- Strictly adhere to the Company’s Labor Regulations, Fire Safety (PCCC) rules, and warehouse safety standards.
3. Logistics Coordination & Administrative Duties
- Coordinate with freight forwarders and shipping units to track inbound shipments from the point of order, customs clearance at ports, until successful arrival at the company warehouse.
- Monitor delivery vehicle schedules and log arrival/departure times for every transit trip.
- Track timekeeping and overtime hours for the warehouse and delivery team.
- Verify, process, and settle logistics expenses (tolls, parking fees, handling/loading fees, outsourced vehicle rentals).
- Submit daily delivery status reports and other analytical reports related to the delivery department.
4. Teamwork & General Support
- Support the Delivery Team Leader with operational tasks upon request.
- Collaborate and support colleagues from other departments to optimize overall workflow.
- Execute other duties as reasonably assigned by the Supervisor.
Job Requirements:
● Education: College or Bachelor’s degree in Supply Chain, Logistics, Business Administration, Information Technology, or related fields.
● Experience: At least 1–2 years of experience in warehouse management, inventory control, or product data management (experience in retail, fashion, or premium eyewear is a plus).
Skills:
- Proficiency in utilizing Warehouse Management Systems (WMS) and ERP platforms such as Misa, SAP, KiotViet, or similar software.
- Advanced skills in Microsoft Excel (VLOOKUP, Pivot Table, etc.).
- High attention to detail (crucial for handling premium eyewear products and accurate SKU systems).
- Must be capable in using English for work purpose.
- Attributes: Honest, responsible, good teamwork skills, and able to work under high pressure.
