Job description for Junior Executive Assistant at Alchemy Asia
JOB DESCRIPTION
1. Executive & Administrative Support (40%)
• Support meeting organization and minute-taking, including the use of AI transcription or summarization tools.
• Provide administrative support for executive activities including:
o Preparing visa applications, arrival cards, and fast-track airport services when required.
o Reserving hotels and accommodation for business travel.
o Arranging transportation and logistics for executives or visitors.
• Oversee the main meeting room’s readiness, ensuring professional meeting setup, hospitality arrangements, and overall meeting environmental standards.
2. Document & Information Management (20%)
• Support the Executive Assistant in receiving, recording, and handing over official documents.
• Assist in stamping approved documents in accordance with internal procedures.
• Scan, archive, and maintain digital records of documents to ensure proper filing and easy retrieval.
• Organize and maintain executive documentation and internal records.
3. Research & Digital Support (20%)
• Conduct online research and information gatherings to support executive briefings or internal reports.
• Prepare summaries, reports, and draft communications when required.
• Utilize AI tools and digital productivity platforms to improve workflow efficiency.
4. Coordination & Communication (10%)
• Assist with calendar coordination and meeting logistics when required.
• Support internal coordination with relevant departments to facilitate executive activities.
5. Other Ad-hoc as requested by Executive Assistant/ BODs (10%)
REQUIREMENT
• Fresh graduate or early-career candidate with a degree in Business Administration, Management, Economics, or related fields.
• Comfortable using AI productivity tools (ChatGPT, meeting transcription tools, AI note-taking tools, etc.).
• Good English communication skills (both written and spoken).
• Strong organizational and multitasking skills.
• Highly detail-oriented and meticulous in handling documents, schedules, and administrative tasks. This role requires a high level of accuracy and careful attention to detail.
• Ability to manage confidential information with professionalism and discretion.
• Positive attitude, curiosity, and willingness to learn.
