Job description for IT System Administrator at Novobi

Novobi is seeking an IT Operations Engineer to manage and optimize our comprehensive internal technology environment. This role goes beyond traditional

helpdesk support; it focuses on establishing IT Governance policies, administering our internal ERP system, and ensuring seamless information security across the organization. You will work directly with the Leadership team to translate strategic requirements into operational reality while collaborating closely with our US-based site to maintain global consistency.

KEY RESPONSIBILITIES

1. ERP System & Data Administration

● Oversee the operational administration of the internal Odoo ERP system for employees, with a primary focus on maintaining system stability and security.

● Set up and manage the user directory, ensuring that access is granted accurately based on internal roles and business requirements.

● Design and implement strict Role-Based Access Control (RBAC) and access rules within the Odoo platform to safeguard corporate data.

● Monitor data integrity and manage permissions for internal databases to prevent information leakage.

● Enforce information security measures to protect sensitive business data and ensure overall system safety.

● Oversee the implementation of configuration and/or customization changes to the Odoo ERP system to ensure company strategic initiatives are supported while maintaining system and data integrity

2. Strategic IT Governance & Compliance

● Partner directly with the Leadership team to receive strategic IT requirements and develop/implement IT Governance policies aligned with the company’s vision, including adherence to ISO27001 security standards

● Collaborate with company leadership to establish and enforce artificial intelligence (AI) platform best practices, usage policies, and controls.

● Enforce periodic security controls and maintain meticulous access and device logs to provide evidence for internal and external audits.

● Standardize onboarding and offboarding workflows in coordination with HR and Team Managers to ensure timely access provisioning and revocation.

● Collaborate with the DevOps team to handle advanced network infrastructure and platform-level escalations.

● Develop and maintain Standard Operating Procedures (SOPs), operational checklists, and ensure all IT activities are fully documented for audit trails.

3. Infrastructure & Internal Device Management

● Develop and enforce secure IT connectivity policies, managing core services including Domain management and DNS.

● Take responsibility for the full administration of the company's SaaS ecosystem, including Google Workspace, project management platforms, and other internal business applications.

● Manage identity and access across all SaaS platforms via MFA and SSO to ensure a secure and unified login experience.

● Utilize MDM (Mobile Device Management) tools to manage configurations, security baselines, and the full lifecycle of endpoints like laptops and tablets.

● Resolve technical issues related to operating systems, software, and connectivity (VPN, Wi-Fi) for both office-based and remote employees.

● Manage the full lifecycle of IT endpoints, including hardware repair and troubleshooting, asset provisioning and de-provisioning (such as secure data wipe

and operating system reinstallation for departing or new employees), and continuous administration of anti-virus software and system updates.

DETAILED REQUIREMENTS

1. Technical Skills

● Deep understanding of user administration and system authorization structures.

● Proven experience in Odoo ERP administration is a significant advantage.

● Hands-on experience in managing Corporate Domains, DNS, and network connectivity setups.

● Proficiency in administering Windows and macOS environments along with MDM solutions.

● Experience implementing security solutions, including disk encryption, EDR/Antivirus, and MFA policies.

● Ability to design IT workflows and draft clear, professional policy documentation and user guides.

● Solid understanding of IT Asset Lifecycle management, from procurement to secure disposal.

2. Language & Communication

➢ Fluent in English with the ability to present technical solutions and discuss directly with US-based management.

➢ IELTS certificate from 6.5 (or equivalent) is a strong plus.

➢ Ability to work flexibly and manage tasks effectively across different time zones between Vietnam and the US.

3. Mindset & Attributes

● Systematic thinker with a proactive approach to researching and adopting new technologies like AI tools or Automation.

● High level of integrity and responsibility regarding data security and system permissions.

● Adaptable and thrive in a fast-paced, dynamic environment; comfortable working directly with senior leadership.
