Job description for Human Capital Data Administrator at British School Jakarta
- Minimum S1 / Bachelor Degree in Business Administration, Management, Law, Psychology or Human Resources.
- Minimum 1 year of relevant experience, particularly in maintaining documents related to recruitment activities or employee record files.
- Good knowledge about Safeguarding and Child Protection.
- Good knowledge on effective recruitment and selection processes.
- Strong administrative skills, including document and record filing management.
- Excellent communication skills and interpersonal skills to maintain productive working relationships with candidates and colleagues at all levels.
- Able to work independently or work in a team.
- Good proficiency in English skills both oral and written.
- Good analytical capability.
- Computer literate in Microsoft Office and Google Suites, as well as electronic files management.
- General understanding of the school’s administrative system, policies and procedures, including safeguarding and data protection policies.
- Administer and update/renew the Single Central Record (SCR) of all employee’s safeguarding document records to ensure all information is accurate and up to date. This may include but not limited to: Document Renewal (Police / Medical Records) and Updated Child Protection Training, and communicate all important findings or issues to respective stakeholders as necessary.
- Assist to conduct recruitment candidates background check for HNS and Expatriate Staffs based on BSJ HR Standards & Child Protection Policy through all possible channels. This may include but not limited to: Reference Check, Qualification/University Check, Police Check, Medical Check, and other related options.
- Assist in document checking for Outsourced Staffs & Vendor / other activity providers hiring process, ensuring all required preliminary documents for employment are available and appropriate according to BSJ HR & Child Protection Policy Standard.
- Assist recruitment & selection practices for both Host National Staffs (HNS) & Expatriate Staffs in initial document checking, ensuring all required preliminary documents for employment are available and appropriate according to BSJ HR Standards & Child Protection Policy. Assist in document checking for Outsourced Staffs & Vendor / other activity providers hiring process, ensuring all required preliminary documents for employment are available and appropriate according to BSJ HR & Child Protection Policy Standard.
- Assist the recruitment team to formulate the most sufficient, appropriate, and effective procedures in reinforcing recruitment & selection practice, with the aim to safeguard & ensure all candidates have safe & proper history / background that is safe to work amongst children in BSJ.
- Process MCU Result by sending to the Doctor in BSJ and ensure the candidate is fit to work in BSJ, and file the MCU result assessment in the SCR.
- Prepare regular update report on SCR status and communicate them to the relevant parties, such as the Recruitment & Selection Team and the Child Protection Officer (CPO) / Designated Child Protection Officer (DCPO), as well as respective users when necessary, on the document and/or background check findings for recruitment decision process.
- To be familiar with, and uphold all, Safeguarding policies and Child Protection and Responsible Use of Data policies and procedures within the school.
- In liaison with the Line Manager, take responsibility for upholding Health and Safety practice within your own working area and be responsible for completing risk assessments/near misses as appropriate.
- Undertake any other reasonable duties as advised by the Line Manager, or the Head of Department.
