Job description for Admin Secretariat at P3SM - Pusat Pembinaan Pelatihan dan Sertifikasi Mandiri
Ideal Candidate:
An ideal candidate will have experience working in an engineering or construction office and be proficient in AutoCAD, Microsoft Office, and project scheduling software. The Secretariat Administrator will be in charge of the administrative tasks, including answering phones, preparing correspondence, scheduling meetings and travel, and maintaining project files. The successful candidate will be a self-starter who can work independently and will seize the initiative when needed.
Responsibilities:
Prepare meeting and event materials, such as name badges, table tents, and agendas.
Assist with maintaining an orderly, neat, and clean appearance of offices and training rooms.
Schedule and organize activities, such as meetings, conference calls, travel, and logistics.
Prioritize, organize, prepare, and distribute internal/external documents, including memoranda, letters, reports, presentations, etc.
Coordinates communication between different departments within a company to facilitate projects and operations.
Qualifications:
Candidate must possess at least a Bachelor's Degree in Civil Engineering.
Working knowledge of AutoCAD or other engineering software programs.
Capacity to thrive in a fast-paced environment while maintaining accuracy
Exceptional organizational skills and the ability to manage multiple tasks
Demonstrated attention to detail and task follow-through
Strong interpersonal, oral, and written communication skills and the ability to communicate effectively with project team members and clients
Strong client-service mentality and an attitude and desire to help project teams be successful
A flexible working style and the ability to work independently and with teams of specialists to meet client and project needs
Willing to work with a contract system (1-year contract) and ready to be placed in Pluit, North Jakarta.
