Job duties
Meeting room arrangement: arrange & monitor meeting room schedule; prepare all related meeting processes from booking, set up the room with all necessary stationery and make sure all equipment working well & then inform related participants.
- Welcoming guests, directing visitors, and providing accurate basic information; Answer phone calls
- Be responsible for payment: checking expat’s apartment payment, apply monthly payment requests for office suppliers.
- Receive/send mail, documentary via post, shipment, or via forwarders (Viettelpost; DHL)
- Stationery management: Monitor, control and order stationery monthly according to the department requirement & filling documents & other office supplies accurately
- Follow OA Notebook List: Manage & prepare equipment, laptop for the newcomer; collecting handover form, update the OA follow list.
- Booking flowers: Receive & book flowers as an approval package, record and follow the debt to apply for monthly payment.
- Preparation for newcomer/termination: Set new or Remove fingerprint; Employee Namecard; Parking Card (Registery/Change information/Cancel)
- Monitor & control pantry: order water; monitor tea lady to ensure working areas are tidy and clean
- Transportation management: list of taxi cards fill in taxi fee.
Job requirements
- 1-2 years working experience in administration (in foreign company size 100+ is a big plus);
- Willing go outside to assist clerical duties such as submit/ notarize documents, get VAT invoices, etc.
- Honest and Hardworking;
- Proactive and teamwork spirit;
- Good interpersonal & communication skills;
- Good organizational and multi-tasking abilities;
- Good at MS Office.
