Leap Vista is a fast-growing education company specialized in running events and workshops in the area of e-commerce, digital marketing, and entrepreneurship. The company is founded by Steve Tan and Evan Tan, who is also known as the 9-Figure Ecommerce Legends, who also founded one of the largest Asia eCommerce community, ECom Elites Mastermind group.
Responsible for providing comprehensive support in the area of executive and administrative assistance to the Marketing Manager of the company.
Assist and contribute to the efficiency of our business by providing personalized and timely support to the Marketing Manager.
Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executive's behalf.
Act as the point of contact among executives, employees, clients and other external partners.
Maintaining comprehensive and accurate corporate records, documents and reports - Performing minor accounting and bookkeeping duties
Organizing meetings, including scheduling and sending reminders
Record, transcribe and monitor minutes of department meetings
Managing the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
Assist Executive in creating resources and systems to improve workflow
Reading and analyzing incoming memos, submissions, messages and distributing them as needed.
Doing market research for campaigns- to confirm if needed
Compiling all campaign data in google sheet to be used during the meeting
Ensure efficient, clear, and effective communication between executive, clients, and staff
Assist the executive in planning, upgrading systems, and workflow of the organization and help to reduce workflow by 25%
Delivers output with a high sense of urgency
Preferably with 1 year Secretariat experience (preferred but not required)
Well versed in Business writing and adept in MS Office mostly in Excel, and Google Suite
Familiarity with project management software (e.g. ClickUp)
Familiarity with online calendars and cloud systems
Time management and ability to meet deadlines
Excellent verbal and written communication skills
Strong organizational skills and ability to multitask
Problem-solving and decision making skills
Ability to act as a gatekeeper and escalate relevant information to executives as needed
Ability to work effectively with minimal supervision
Strong interpersonal skills
Ability to treat confidential information with appropriate discretion
Exceptional attention to detail
