Job description for Commercial Enterprise & Development Administration Officer at British School Jakarta
- Provide support in administration processes for CE&D's business activities to ensure a smooth and timely operation to support the School's initiatives and goals, including raising purchase requisitions or requesting cash advance/reimbursement in the provided system, arranging new employee induction, and data/record management.
- Arrange and coordinate with relevant parties for internal meetings of the CE&D Department and for external meetings with relevant stakeholders.
- When requested for each meeting that is arranged and attended, take notes during the meeting and draft a minutes of meeting and distribute to the attendees.
- Monitor CE&D budget in support of the School's annual initiatives and goals, including compiling CED budget every month
- Act as the receptionist for the Commercial Enterprise and Development Departments ie: welcoming parents and prospective students, vendors, and other guests.
- Assist in email correspondence and answer telephone calls properly as a response to customer enquiries or requests.
- Ensure the CE&D office space is kept neat and tidy, so it is comfortable for everyone who works in there or visits the building.
- Arrange domestic and international business travels taken by the CE&D Director or other CE&D members when required, including preparing the itineraries, booking the transport and accommodation, processing the reimbursement and payment of expenses, or other administrative work related to travel support for CE&D
- Assist in the planning for events initiated by the CE&D Department and help ensure that the business agenda effectively and efficiently aligns with the School's goals and initiatives.
- Prepare, organise and develop certain administrative requirements, such as formal presentation material, meeting minutes correspondence, summary of data in support of business activities and events.
- Provide support to the specific area induction programme for new CE&D staff when required by coordinating with HR in preparing and updating welcoming documents, scheduling and delivering induction to the new CE&D staff on the standard and agreed topics such as data keeping and regular meeting schedules.
- To be familiar with, and uphold all, Safeguarding policies and Child Protection and Responsible Use of Data policies and procedures within the school.
- In liaison with the Line Manager, take responsibility for upholding Health and Safety practice within your own working area and be responsible for completing risk assessments/near misses as appropriate.
- Undertake any other reasonable duties as advised by the Commercial Enterprise & Development Director, the Marketing & Communications Manager, the Admissions Manager, or the Enterprise Development Manager.
- Minimum Diploma-3 (D3) in Business Study / Administration / Public Relation / Management / Marketing / Commerce or any other relevant discipline.
- Minimum 3 years of relevant working experience in general administration or business management and having experience in an International School setting is desirable.
- Possess excellent secretarial and administrative skills including correspondence and filing / record management.
- Possess advanced computer literacy using MS Office and Google Suites or other applications for word processing, data storage and retrieval, email, spreadsheet, web applications and other administrative activities such as simple budgeting.
- Possess good written and verbal English and Bahasa Indonesia language proficiency.
- Possess advanced communication skills both verbal and written to be able to liaise and consult with various people from internal/external, draft related documents and develop material for formal presentation.
- Possess advanced interpersonal skills to be able to interact with multiple and different stakeholders and ability to work independently or as a team.
- Possess ability in providing full assistance and support in the event management area.
- Possess Customer Service Excellence, including being able to respond to inquiries from internal/external stakeholders timely.
- Possess a friendly and pleasant personality when dealing with people (e.g.staff, guests, parents, students and external stakeholders.
- Possess excellent organisation skills and strong care for tidiness and a clean working environment (i.e. CE&D building has to be kept clean, tidy and representative of BSJ as a school).
- General understanding of the School's administrative system, policies and procedures.
