Job description for Office Administrator cum HR Assistant at CÔNG TY TNHH BEL VIỆT NAM
- Receptionist: answer, screen & transfer incoming phone calls, welcome & escort visitors.
- Ensure day-to-day basic activities in the office will be operated smoothly, including office maintenance, office facilities, safety, cleanliness & security.
- Fulfill office supply needs, inventory, purchasing.
- Maintain and manage vendors with efficiency.
- Support onboarding new employees in order to become fully integrated (including but not limited to name badge, business card, working desk, welcome kit…).
- Be a main contact to work with travel agents for air ticket booking for all departments and with service agent to support expats in arranging all legal administrative documents: visa, work permit, temporary resident card.
- Support preparing contract and perform payment for all office & HR expenses from creating vendor code, preparing PR/ PO, payment, good receipt notes and tracking budget.
- Involve in organizing employee engagement events including scheduled activities following to annual planning which is supervised by Office Manager cum GM Assistant included but not limited of year-end party, company trip, occasion party, and ad-hoc events.
- Support in internal communication of cascading news from company to employees through different platforms including workplace, bulletin board, company websites, e-newsletter.
- Execute an employee focused communications plan to enable structuring and sequencing of messages to all staff, liaising with global and regional counterparts.
- Consolidate and ensure related L&D reports are produced intime with high qualit.
- Ensure related templates and forms are well documented.
- Operate L&D Logistics (venue, tea break…).
- Other tasks or projects as assignment.
- University degree in equivalent.
- Minimum 2 of experience acquired in MNCs or international organization, with at least 1 year in Office Administrator or Assistant to Human Resources role.
- Knowledge in L&D or recruitment is a plus.
- Fluent English is mandatory.
- Customer centric mindset and patient.
- Be able to communicate, assist and help employees at different level daily office operation.
- Good project management skills (Employee branding project, HR project etc…).
- Strong capacity to manage transversally different suppliers /vendors.
- Social Media Knowledge.
- Ability to adapt and work with internal and external stakeholders at all levels.
- Knowledge of at least in one or several in HR.
