Job description for Customer Service Assistant at HYDRO HOLDING SINGAPORE PTE LTD
The customer service assistant performs a wide range of administrative duties and provides a variety of services to clients relating to Hydro products. This individual plays a key role to create and maintain client satisfaction and is in contact with internal and external parties.
Key responsibilities and tasks
Responsible for the administration of the customer’s order from reception of the order to final payment, including sourcing, procurement, invoicing, shipment, etc
- Acts as liaison with internal (sales, logistic & finance teams) and external parties (shipping companies, financial institutions, chamber of commerce)
- Communicates with customers, confirms price and stock availability
- Process orders: Prepare Proforma Invoice and Sales order entry (including calculation of transport and packing costs), follow up until reception & control supplier invoice, verification and documents for documentary credits
- Coordinate transport: dispatch / delivery / organization of transport and transport documents
- Controls and operations are done accordingly to internal procedures and rules
- Proactive account management ensures deadlines are met and responds to client’s requests in a timely manner & develop understanding & knowledge of the client account (needs, constraints, etc.)
- Deals with potential client complaints/claims and credit notes
- Maintains and grow customer satisfaction according to the safety, quality and productivity procedures
- Provides instructions for application and verification of documentary credits
Experience and skills
Knowledge / Experience
- International sales/commercial/procurement/logistics
- Knowledge on regulation such as - cross trading, incoterm, custom regulation, documentary credits.
- Fluent in English
Skills / Competencies
- Team player, strong communication skills, with responsibilities & client focused
- Excellent organization skills, rigor, dynamism and flexibility required
- Multitask & ability to work under pressure
- High level of initiative and professionalism
- SAP Knowledge
- Microsoft windows environment – Advantage in excel
