About the role
We are seeking a proactive and detail-oriented HR & Admin Executive to oversee the full spectrum of human resources and administrative functions. The role is responsible for supporting recruitment, employee relations, payroll administration, performance management, and office operations while ensuring compliance with Singapore and Malaysia employment laws and statutory requirements. The ideal candidate is highly organised, able to manage multiple priorities, maintains confidentiality, and contributes to creating an efficient workplace and a positive employee experience.
Key responsibilities
Providing comprehensive HR support, including recruitment assistance, employee relations, and onboarding processes
Managing personnel records, employment contracts, and HR documentation in compliance with Singapore and Malaysia employment laws, statutory regulations, and company policies
Supporting the administration of payroll, leave management, and benefits programmes
Coordinating staff training, development initiatives, and performance management activities
Handling general administrative duties including scheduling, correspondence, document management, and office coordination
Assisting with the implementation of HR policies, standard operating procedures (SOPs), and employee handbook maintenance
Managing office supplies, facilities, and vendor relationships
Resolving employee queries and concerns with professionalism and confidentiality
Preparing HR reports and maintaining accurate records for audit purposes
Supporting the planning and execution of company events and internal communications
Monitoring changes to Singapore and Malaysia labour laws and employment regulations and assisting in updating HR policies and practices to ensure ongoing legal compliance
What we're looking for
Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field
3-5 years of relevant experience in HR and administrative functions
Good knowledge of Singapore and Malaysia employment laws, labour regulations, and statutory requirements (e.g. Singapore Employment Act, CPF, MOM regulations; Malaysia Employment Act 1955, EPF, SOCSO/PERKESO, EIS, and LHDN)
Experience in recruitment, onboarding, payroll administration, employee relations, and performance management
Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and HRIS/payroll systems.
Excellent organizational and time management skills with the ability to multitask effectively
High level of integrity with the ability to handle confidential information professionally
Strong written and verbal communication skills in English; proficiency in other languages is advantageous
Self-motivated, detail-oriented, and able to work independently as well as collaboratively in a team environment
Experienced in handling Singapore MOM Work Pass applications and managing Malaysia statutory payroll contributions including EPF/KWSP, SOCSO/PERKESO, and EIS
Familiarity with ISO documentation, internal audits, and HR compliance will be an added advantage
A customer-service oriented approach with strong interpersonal skills
Attention to detail and commitment to accuracy in administrative tasks
Proactive mindset with the ability to work both independently and collaboratively within a team
Familiarity with recruitment processes and experience in employee engagement is preferred
