Legal & Visa Officer
As a Legal & Visa Officer, you will assist local and international customers with immigration and legal document services in Indonesia. You will manage visa and legal applications from consultation to completion while providing exceptional customer service through both online and offline channels.
Responsibilities
- Manage visa and residence permit (Visa, KITAS, KITAP, etc.) applications from consultation, document verification, submission, until approval.
- Handle legal document services, including sworn/non-sworn translation, notarial legalization, apostille, and related legal documentation.
- Assist both walk-in (offline) customers and online customers via email, WhatsApp, and other communication channels.
- Provide accurate information regarding Indonesian immigration regulations and legal document requirements.
- Review customer documents to ensure completeness and compliance before submission.
- Coordinate with immigration offices, notaries, translators, government institutions, and business partners.
- Monitor application progress and proactively update customers on their application status.
- Support the online customer service team by answering visa and legal service inquiries.
- Deliver professional, timely, and customer-focused service throughout the application process.
- Create, maintain, and continuously improve SOPs and internal documentation.
- Conduct knowledge sharing and training sessions for team members when required.
- Stay updated with the latest immigration regulations and legal documentation procedures.
Qualifications
- Experience in visa, immigration, or legal document services (fresh candidates with relevant knowledge are welcome to apply).
- Good English communication skills (spoken and written).
- Excellent customer service and interpersonal skills.
- Strong attention to detail and ability to handle multiple applications simultaneously.
- Proficient in Google Workspace (Docs, Sheets, Drive).
- Comfortable using AI tools (such as ChatGPT) to improve productivity and work quality.
- Able to work independently while collaborating effectively with a team.
- Professional appearance, positive attitude, and strong sense of responsibility.
- Fast learner with excellent problem-solving skills.
