Job description for People and Finance Admin (Contract) at Oyen Insurance
- Manage schedules and appointments for the office and coordinate meetings and events as needed
- Maintain office supplies and order additional supplies as needed
- Manage office expenses and budget, including tracking and reconciling expenses and preparing reports as needed
- Handle incoming and outgoing mail and packages, including coordinating with couriers and other service providers
- Organize and maintain office files and documents, including electronic and physical records
- Coordinate with vendors for maintenance and repairs of office equipment and facilities
- Assist with the onboarding of new employees, including setting up their workstations and providing necessary materials and information
- Participate in continuous learning and professional development opportunities to stay current with best practices in office management.
- Provide comprehensive support to the finance team in all areas of accounting and finance, including day-to-day processes and weekly and monthly reporting of financial information.
- Assist in the accounts receivable function by issuing quotations, invoices and managing debt recovery, among other tasks.
- Aid in the accounts payable function by processing invoices, vendor payments and expense reimbursements, among other responsibilities.
- SPM and above
- 2+ years of experience in administrative work/office management or a related field
- Proficient with Microsoft Office and other office software
- Excellent communication and organizational skills
- Strong attention to detail
- Experience with tracking expenses
- Experience with calendar and schedule management
- Experience with vendor management and procurement
- Experience with event planning and coordination
- Strong understanding of accounting and finance principles and processes
- Experience with Accounts Receivable and Accounts Payable functions
- Proficient in accounting software and financial reporting tools
- Strong organizational, analytical and problem-solving skills
