Job description for Operations Assistant at Future Electronics Inc. (Distribution) Pte Ltd

JOB PURPOSE:

  1. To monitor daily inbound and outbound operations progress, expedite urgent order processing, and resolve recurring operational issues to ensure seamless workflow and timely order fulfillment.
  2. To maintain accurate operational tracking and reporting to support management decision-making and continuous process improvement.

PRINCIPAL ACCOUNTABILITIES:

  1. Monitor and track daily inbound and outbound operational progress to ensure targets and service level agreements are met.
  2. Expedite and coordinate urgent inbound and/or outbound order processing to prevent delays and meet customer delivery commitments.
  3. Identify, troubleshoot, and resolve repetitive order issues or system discrepancies to ensure smooth transition to subsequent operational processes.
  4. Utilize warehouse management systems and reporting tools to maintain accurate operational records, update order statuses, and track inventory movement.
  5. Acknowledge and respond to emails from internal stakeholders on progress of inbound and outbound tasks.
  6. Provide timely operational support, generate daily progress reports, and escalate critical bottlenecks to the supervisor.

JOB CONTENT:

  1. Check and update daily operations progress; report findings and action plans to the supervisor.
  2. Chase and follow up on urgent inbound/outbound orders with internal teams and external partners.
  3. Investigate recurring order discrepancies/issues, implement corrective actions, and document root causes.
  4. Prepare, maintain, and update operational tracking sheets, metrics, and progress reports using Microsoft Excel.
  5. Utilize SAP/WMS to process orders, verify data accuracy, and generate system reports.
  6. Assist with ad-hoc operational tasks, cross-functional coordination, and process improvement initiatives as assigned.

RECOMMENDED CREDENTIALS:

QUALIFICATIONS

  • Minimum ‘O’ Level / Secondary education and above.

EXPERIENCES

  • Minimum 1 year experience in warehouse, logistics, distribution center, or operations support.

COMPETENCIES

  • Proficient in Microsoft Excel for data tracking, analysis, and reporting. · Familiarity with Warehouse Management Systems (SAP/WMS) is highly preferred.
  • Fluent in spoken Chinese to liaise with Mandarin-speaking vendors/warehouse partners; proficient English reading for documentation and system interfaces.
  • Strong analytical and problem-solving abilities to identify and resolve operational bottlenecks.
  • Ability to work under pressure with a strong sense of urgency and meet tight deadlines.
  • Excellent communication, coordination, and interpersonal skills.
  • Detail-oriented with strong numerical accuracy and data integrity.
