Coworking Operations Manager
We are looking for a professional operations manager to manage one of our coworking spaces. This is an amazing opportunity in one of the world’s best coworking spaces: Dojo Bali & Hubud. Join our family and community of change makers. Let’s be real though, this is a very challenging position for a client facing, community focused individual with excellent English & hospitality management skills. We require an individual that is a strategic thinker, technically minded with hands-on experience in management, hospitality, coworking, or managing physical spaces & teams, exposure to overseas cultures & running a cool, relaxed work environment would be a big plus. This is NOT a normal office job! (SECRET CODE BELOW!)
The role of the Operations Manager is a hands-on, client facing, and team management role for an individual that has a positive, outgoing personality, loves people, loves learning and being part of an international and local Bali community. Our space is focused strongly on building community around the digital industry, entrepreneurship, startups, remote work and work life harmony. For this position you must have perfect English, be able to complete a wide range of responsibilities requiring excellent organisational skills and attention to detail.
We have a vibrant community with over 500+ transient international and local members, we have a diverse team from all over the Indonesian archipelago, this means you have to have great understanding of Indonesian culture differences, clear communication & multitasking skills and work well under pressure.
Overall your main objective is ensuring the smooth and efficient running of the day to day operations of the space, team & community to allow for high performance individuals to grow and our space to prosper.

Responsibilities
  • Understand community and get involved with community, members and operations of space
  • Space, team & facilities management and daily operations of space.
  • Overseeing correct implementation and reliability of software systems and member management in the space.
  • Oversee & manage the heads of teams including Hosts, Community Manager, Events Manager, Social Impact, IT Manager, Cafe & Engineering, to ensure the smooth running of the space and happiness of the community & our members.
  • Development, maintenance and enforcement of policy & procedures. Ensuring team is following systems.
  • Participate in strategic decision making & implementation of key strategies from senior management of brand and company overall.
  • Monitor daily movement of incoming and outgoing customers, members, team.
  • Manage allocation of human resources in the departments, including assigning roles and duties to each team member in an effective and efficient manner.
  • Monitor productivity of each team member.
  • Provide necessary guidance, support and training needed for all team members to function in their role
  • Evaluate and establish needed procedures and work-flows for daily operations.
  • Identify areas needing improvement and provide solutions for the team to become more effective and efficient.
  • Conduct product inspections for quality assurance & maintain good relationships with partnering suppliers, vendors & neighbors.
  • Handling of new internships official document requirements and on boarding and placement in team.
  • Provide assistance for customers and team on urgent situations.
  • Communicate, conflict resolution and coordinate with other departments on any inter-related issues.
  • Provide necessary decision-making to ensure daily operation meets members satisfaction and company's quality standards.
  • Ensure that the space is clean and polished at all time, that furniture and operational assets are maintained and in perfect working order.
  • Communication of outstanding team members and community members for further engagement with founder.
  • Help build with other managers a community & alumni and foster community growth.
  • Help build partnership networks and programs.
  • Regular meetings with department heads to ensure the smooth running of the operations, including other company divisions such as marketing, partnerships and coliving.
  • Regular reporting to senior management on KPI and relevant information across all responsibilities

Skill
  • Minimum 3 years’ experience in management & operations in different fields such as coworking, hospitality, events, conference planning.
  • Candidates with previous experience as an Operations Manager in Coworking Industry will be prioritized.
  • High level English skills in speech and writing; Able to communicate fluently in Indonesian and English language
  • High level energy as you will need as you will be meeting a lot of people.
  • High Level Computer & internet knowledge, Office: Word, Excel (Advanced formulas) Accounting software, Mac & PC OS and tools.
  • A team player, communicative, detail-oriented, pro-active, transparent and trustworthy.
  • Able to handle pressure and have good problem-solving abilities.
  • Excellent organizational skills and attention to detail.
  • Project management experience, negotiation skills.
  • Capability to represent the Brand and actively help to build new relationships and opportunities.
  • Exceptional ideas and creative input and inexhaustible drive to discover new opportunities.
  • Passion for Indonesian businesses that create social and environment impact.
  • Finance and budgeting experience are a must.
  • Comfort connecting with a wide variety of people, from surfers, creative, tech heads, artists to Wall St. capitalists.
  • Available outside office hours to provide quick responses on urgent situations.
