Job description for Office Manager at PT Marhaba Wefada Indonesia
We are looking for a highly organized, proactive, and results-driven Office Manager to oversee daily operations while supporting the sales and business development activities of our Umrah and Hajj services.
Key Responsibilities
1. Office & Administration Management
- Supervise and manage daily office operations to ensure efficiency and productivity.
- Develop and implement office policies, procedures, and internal controls.
- Coordinate and monitor administrative functions and documentation.
- Prepare operational reports and management updates.
2. Umrah & Hajj Operations
- Manage and oversee the operational process for Umrah and Hajj packages from departure and return.
- Coordinate visa processing, flight bookings, hotel reservations, transportation, and ground handling services.
- Liaise with airlines, hotels, Saudi partners, and other service providers to ensure smooth operations.
- Ensure all operational activities comply with company standards and Saudi regulations.
3. Product Development & Costing
- Develop and update Umrah package offerings.
- Prepare and calculate package costing, operational expenses, and profit margins.
- Monitor market trends and competitors to create competitive products.
- Work closely with management to establish product pricing strategies.
4. Sales & Marketing
- Develop and execute sales and marketing strategies to achieve company targets.
- Build and maintain strong relationships with travel agents, corporate clients, and business partners.
- Identify new business opportunities and expand the company's market presence.
- Support promotional activities, exhibitions, seminars, and marketing campaigns.
- Monitor sales performance and prepare periodic sales reports.
- Lead the sales team to achieve monthly and annual revenue targets.
5. Team Leadership
- Supervise, guide, and evaluate office staff performance.
- Foster a positive and collaborative work environment.
- Conduct staff training and support employee development.
- Allocate tasks and ensure responsibilities are carried out effectively.
6. Customer Service & Relationship Management
- Ensure excellent customer service throughout the Umrah and Hajj journey.
- Handle customer complaints and operational issues professionally and promptly.
- Maintain good relationships with customers and business partners to enhance client satisfaction and retention.
7. Financial & Operational Control
- Monitor operational budgets and expenses.
- Ensure accurate documentation and reporting of operational and financial activities.
- Assist management in planning and implementing cost-efficiency initiatives.
Qualifications & Requirements
- Bachelor's Degree in Business Administration, Management, Tourism, Hospitality, Islamic Studies, Marketing, or a related field.
- Minimum 1 year of experience in a managerial position.
- At least 5 years of experience in the Umrah and Hajj travel industry.
- Strong understanding of Umrah and Hajj products, including package design, services, and customer requirements.
- Good knowledge of the operational process of Umrah and Hajj, including documentation, visa processing, flight arrangements, accommodation, transportation, and coordination with local and international partners.
- Able to prepare and calculate Umrah package costing and pricing, including budgeting, operational costs, and profit margin analysis.
- Proven ability in Sales & Marketing, including developing sales strategies, maintaining relationships with travel agents and corporate clients, and achieving sales targets.
- Experience in promoting and selling Umrah and Hajj packages through both online and offline channels.
- Excellent administrative and organizational skills with strong attention to detail.
- Proficient in Microsoft Office (especially Excel, Word, and PowerPoint).
- Strong leadership and team management abilities.
- Excellent problem-solving and decision-making skills.
- Able to work under pressure and manage multiple priorities.
Language Skills
- Good command of English, both written and spoken.
- Ability to communicate in Arabic (written and spoken) will be considered a strong advantage.

- Experience working with Saudi Arabian partners and vendors.
- Familiar with Saudi regulations related to Umrah and Hajj.
