Job description for HR Executive – Event Staffing & Promoter Recruitment (Remote) at Everything Good Pte Ltd
About Everything Good
Everything Good Pte Ltd is a Singapore-based confectionery and snacks company with two brands: Everything Good, our minty chewy candies, and Orchard Jewels, a premium range of dried fruits. You'll find our products at department stores, specialty retailers and hospital pharmacies across Singapore. We also sell to wholesale and export customers around ASEAN.
Pop-up events are a big part of how we sell. We run booths at malls and retail spaces around Singapore, staffed by freelance promoters. Our team is small and founder-led, with people in Singapore, Indonesia and Malaysia.
About the role
We're hiring a remote HR Executive to run hiring and day-to-day management for our freelance promoter team in Singapore. You'll own the whole promoter cycle. That means finding and hiring people, building event rosters with backups, tracking performance against KPIs, and preparing salary and commission payouts after each event.
This role works fully remotely from Indonesia, with Batam preferred, and reports to our General Manager in Singapore. You'll work closely with our Operations Manager, who runs the events on the ground.
Key responsibilities
1. Sourcing and job posting
• Write and post promoter job ads on Singapore/Malaysia job portals and channels, such as FastJobs, Indeed, JobStreet, MyCareersFuture, and Telegram and WhatsApp part-time job groups.
• Build and maintain an active pool of pre-screened promoters so every event can be staffed quickly.
• Track where applicants come from, and put more of the budget into the channels that bring reliable hires.
2. Interviewing and onboarding
• Set up and run a consistent hiring process covering screening, video interviews, reference checks and selection.
• Confirm that every candidate is eligible to work/stay in Singapore before they are engaged.
• Send out engagement agreements, collect onboarding documents and keep promoter records current.
• Coordinate product and sales training with the Operations Manager before each promoter's first event.
3. Rostering and backup planning
• Turn each event's dates, opening hours, duration and staffing needs into a confirmed roster.
• Assign at least one standby promoter per event, and have a replacement in place for any no-show or last-minute dropout.
• Send roster confirmations and reminders, and track attendance for every shift.
• Plan rosters early for peak periods such as Chinese New Year, Hari Raya, Deepavali and Christmas.
4. Performance management
• Set daily and event-level sales targets and KPIs for promoters, working with the Operations Manager.
• Review performance after each event using sales data, attendance and feedback from the event lead.
• Coach promoters who are falling behind, and issue verbal and written warnings when needed.
• End engagements for continued underperformance or misconduct, following company policy and the terms of the promoter agreement.
• Keep a clear written record of every warning, review and termination.
5. Salary and commission payouts
• After each event, check attendance, hours and sales figures against the event records.
• Calculate each promoter's daily pay, commission and any incentives using our tiered commission structure.
• Prepare payment vouchers and the payout summary for General Manager approval.
• Make sure payouts go out on time after each event closes, and answer promoter questions about their pay.
6. Reporting and process improvement
• Send a short weekly report covering open roles, roster status, no-shows, promoter performance and payout status.
• Keep our hiring templates, interview guides, roster sheets and payout trackers up to date.
• Suggest improvements to how we hire, keep and reward promoters.
Requirements
• Diploma or Bachelor's degree in Human Resources, Business Administration or a related field.
• 3–5 years' experience in recruitment, HR or staffing, ideally for retail, events, F&B or promoter teams.
• Hands-on experience posting jobs and sourcing candidates on online job portals and social or messaging channels.
• Experience building shift rosters and handling last-minute staff changes.
• Experience managing performance, including setting KPIs, giving feedback, issuing warnings and ending engagements.
• Experience calculating pay, hourly or daily rates and commissions, with strong attention to detail.
• Confident with Excel or Google Sheets (formulas, lookups, basic pivot tables), WhatsApp Business and video-call tools.
• Business-level written and spoken English. Bahasa Indonesia is required.
• Available on weekends and public holidays during events, for roster and replacement issues.
• Reliable internet and a quiet place to work from home.
Nice to have
• Experience recruiting for Singapore employers, or knowledge of Singapore's job market and work-eligibility rules.
• Background with retail promoter, brand ambassador or event staffing agencies.
• Conversational Mandarin or Malay.
• A valid passport for occasional trips to Singapore.
