Customer Service Representative
We are hiring a customer service representative to manage customer queries and complaints. You will also be asked to process spare parts orders, claims, and escalate complaints across a number of communication channels internally and externally.
The Customer Service Representative attracts potential customers by answering after sales product and service questions, suggesting information about other after sales products and services. Process orders, prepare correspondences and fulfill customer needs to ensure customer satisfaction.
Has knowledge of commonly used concepts, practices and procedures within a particular field. Rely on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision. Reports to after sales manager. The target is to ensure excellent after sales service standards and maintain high customer satisfaction.
To do well in this role you need to be able to remain calm when customers are frustrated and have experience working with computers.
Customer Service Representative Responsibilities:
Maintaining a positive, empathetic, and professional attitude toward customers at all times.
Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution.
Handle complaints provide appropriate solutions and alternatives within the time limits and follow up to ensure solution.
Responding promptly to customer inquiries.
Communicating with customers through various channels.
Build sustainable relationships of trust through open and interactive communication.
Acknowledging and resolving customer complaints.
Knowing our products inside and out so that you can answer questions.
Processing orders, forms, applications, and requests.
Keeping records of customer interactions, transactions, comments, and complaints.
Communicating and coordinating with colleagues, as necessary.
Providing feedback on the efficiency of the customer service process.
Recommend potential products or services to management by collecting customer information and analyzing customer needs.
Prepare product or service reports by collecting and analyzing customer information.
Contribute to team effort by accomplishing related results as needed.
Ensure customer satisfaction and provide professional customer support.
Identify and assess customers' needs to achieve satisfaction.
Provide accurate, valid and complete information by using the right methods/tools.
Meet personal/team after sales targets and call handling quotas.
Go the extra mile to engage customers.
Sell spare parts and services maintenance.
Work with customer service manager to ensure proper customer service is being delivered
Compile reports on overall customer satisfaction
Handle changes in policies or renewals
Resolve customer complaints via phone, email, mail or social media.
Customer Service Representative Requirements:
Diploma, general education degree, or equivalent.
Ability to stay calm when customers are stressed or upset.
Comfortable using computers.
Experience working with customer support.
Proven customer support experience
Strong phone contact handling skills and active listening
Familiar with CRM systems and practices
Customer orientation and ability to adapt/respond to different types of characters.
Excellent communication and presentation skills
Ability to multi-task, prioritize and manage time effectively.
