Job description for Admin Assistant (6 Months Contract) at DTC World Corporation

We are looking for a proactive and detail-oriented Admin Assistant to support the company's daily office administration and basic HR administrative matters.

This role is suitable for fresh graduates or candidates with some administrative experience who are willing to learn. The Admin Assistant will assist with coordination, documentation, record-keeping, and general office support to ensure smooth day-to-day operations.

Key Responsibilities

Office Administration

  • Support the smooth running of daily office operations.
  • Manage office supplies, pantry items, stationery, and other administrative resources.
  • Coordinate with vendors and service providers for office maintenance, repairs, and general support.
  • Assist with travel arrangements, including flight and accommodation bookings when required.
  • Support company events, office lunches, employee welfare activities, and internal arrangements.
  • Assist with basic IT coordination by liaising with vendors for troubleshooting or equipment-related matters.
  • Maintain proper filing and documentation for administrative records.
  • Perform other ad hoc administrative duties as assigned.

HR Administrative Support

  • Assist with interview scheduling and coordination with candidates and hiring managers.
  • Support onboarding arrangements for new employees, including document preparation and basic orientation coordination.
  • Maintain and update employee records such as personal files, attendance, leave records, and medical claims.
  • Assist with HR documentation, forms, reports, and simple administrative follow-ups.
  • Assist in formatting, updating, and maintaining HR documents, SOPs, and records.
  • Coordinate training arrangements, including vendor liaison, logistics, and attendance tracking.
  • Support employee engagement activities such as surveys, feedback collection, and welfare initiatives.
  • Direct employee queries to the relevant HR personnel and assist with basic administrative follow-up where required.

Requirements

  • Diploma in Business Administration, Human Resources, or a related field.
  • Fresh graduates are welcome to apply.
  • Prior administrative or internship experience will be an advantage but is not required.
  • Proficient in Microsoft Office, especially Excel, Word, and PowerPoint.
  • Good organisational and communication skills.
  • Detail-oriented, responsible, and willing to learn.
  • Able to multitask and follow up on tasks in a timely manner.
  • Comfortable supporting both office administration and basic HR administrative duties.
