Job description for Secretary at Singapore Polo Club
You will provide secretarial support to the General Manager for the daily admin work. You must be proficient in taking of and recording of minutes and shall also carry out administrative support tasks for the Committee as may be assigned from time to time. You are to keep the General Manager apprised of such tasks.
Duties included:
Perform full spectrum of secretarial and business support to the General Manager
Taking minutes of HOD meetings, Committee meetings and other ad hoc meetings as directed by the General Manager
Efficient diary management, including arranging internal and external meetings for the General Manager
Organize, co-ordinate meetings, including General Meetings & Forums and to assist on any matters as and when requested by the General Manager
Handling phone and email enquiries, incoming and outgoing mail for the office
Managing confidential information, maintain a proper filing system and ensure security of records of meeting, correspondences and documents and to save such documents in the iCloud for safe keeping.
To carry our any other duties that may be assigned to you from time to time.
To ensure the strictest confidentiality on all matters when assisting the General Manager.
Requirement:
Diploma/Professional secretarial certifications or equivalent with extensive experience as a Secretary working in a dynamic environment
At least 5 years’ experience in secretarial support to Senior Management
Excellent communication skills with a strong command of the English language (written and spoken).
Must be flexible and adaptable to ever changing priorities and work within tight deadlines
