Job Description

About The Role

We are looking for an enthusiastic and proactive Project Intern to join our events team. This internship is ideal for someone who enjoys supporting multiple moving parts and learning the ins and outs of event operations and programme management.

You will be involved in a variety of event-related tasks, such as event planning, programme scheduling, vendor coordination, on-site logistics, and administrative support across multiple projects. You’ll gain hands-on experience contributing to the smooth running of events from preparation to execution, helping deliver engaging experiences for participants.

Responsibilities

Event Coordination & Operations Support

  • Assist with event planning timelines, checklists, and trackers to ensure tasks stay on schedule
  • Support vendor and supplier coordination (e.g. collecting quotations, following up on deliverables, confirmations)
  • Prepare event logistics such as signage, materials, packing lists, and inventory
  • Assist with venue setup and teardown during event days
  • Provide on-site support for registration, crowd flow, and general troubleshooting

Programmes Support

  • Assist with programme scheduling and run-of-show documentation
  • Liaise with speakers, partners, or activity providers for simple administrative follow-ups
  • Prepare cue sheets, signage, and materials for stage/programme segments
  • Support rehearsals and on-the-day coordination

Partnerships & Administrative Support

  • Help compile exhibitor/sponsor information and simple trackers
  • Support document preparation (decks, forms, basic data entry)
  • Assist with post-event reports, photo collation, and feedback collection

General

  • Provide ad-hoc support across departments as required during peak periods

  • Experience in administrative support, project tracking, or organising tasks/events (e.g., student clubs, volunteer projects, school events).
  • Comfortable using Google Workspace / Microsoft Office (Sheets, Docs, Slides, Excel, Word).
  • Good communication and teamwork skills for liaising with colleagues, vendors, or partners.
  • Organised, proactive, and able to handle multiple tasks in a fast-paced environment.
  • Willingness to learn and adapt — problem-solving mindset a plus.
  • Ability to work independently, manage time well, and meet deadlines.
  • Interest in events, lifestyle, hobbies, or community driven experiences.
