Job description for Program Assistant / Executive at NPI Solutions (S) Pte Ltd
Summary:
The Programme Executive is responsible for managing customer accounts, coordinating order fulfilment, and ensuring smooth communication between customers and internal departments. This role supports order management, shipment scheduling, and production coordination to ensure timely delivery and high customer satisfaction.
Key Duties and responsibilities included
Customer Account Management
Manage and maintain relationships with existing and new customer accounts.
Provide timely responses to customer enquiries, requests, and order updates.
Keep customers informed of order status, shipment schedules, and potential issues.
Order & Programme Management
Process customer Purchase Orders (PO) and issue order acknowledgements in a timely manner.
Process RFQs and coordinate quotation follow-ups with relevant departments.
Handle change orders and ensure alignment between quoted prices and customer PO.
ERP / System Management
Maintain accurate data entry and update sales orders and job orders in the company’s ERP/MRP system (SYSPRO).
Adjust material allocations and monitor order progress within the system.
Production & Shipment Coordination
Monitor daily shipment schedules and ensure delivery timelines are met.
Coordinate with production, procurement, logistics, and engineering teams to expedite orders when necessary.
Identify potential delays and proactively escalate issues to relevant stakeholders.
Reporting & Documentation
Prepare and submit customers’ open order reports accurately and on time.
Maintain proper documentation for customer orders and related transactions.
Cross-Functional Coordination
Effectively communicate customer requirements to internal departments.
Work closely with supply chain, production planning, and sales teams to ensure smooth order execution.
Continuous Improvement
Identify opportunities to improve customer service processes and internal workflow efficiency.
Other Duties
Perform any other ad-hoc assignments or duties as assigned by management.
Qualifications:
· Minimum 3-5 years of experience in planning, production coordination, or supply chain roles.
· Strong analytical and problem-solving skills.
· Proficient in Microsoft Office with hands-on experience with data entry and Microsoft Excel reporting
· Team Spirit Quality is essential.
· Ability to multi-task and work in a fast-paced, deadline-driven environment with multiple stakeholders.

Education:
High school diploma or equivalent.
