Office & Facilities Management
• Oversee the overall upkeep and maintenance of the office premises, including common areas, meeting rooms, and storage spaces
• Liaise with building management, landlord, and relevant authorities (e.g. URA, BCA, HDB) on tenancy, permits, and compliance matters
• Coordinate with contractors and vendors for repairs, renovations, pest control, air-conditioning servicing, and general maintenance
• Manage office access, keys, and security passes systems
• Ensure the office meets workplace health and safety (WSH) standards under MOM guidelines
• Monitor and replenish office supplies, pantry items, and stationery inventory
• Oversee proper waste disposal, recycling practices, and cleanliness standards
2.2 Administrative Support
• Manage and maintain filing systems (physical and digital), ensuring documents are properly archived and easily retrievable
• Handle incoming and outgoing correspondence, including mail, courier services, and email management
• Prepare and format official documents, letters, memos, reports, and presentations
• Schedule and coordinate meetings, appointments, and internal events; manage calendars for senior staff
• Maintain and update company registers, databases, and contact lists
• Support onboarding of new employees, including workstation setup, access passes, IT coordination
