Job description for Logistics Admin at The Green Olive

About the role

The Logistics Admin is responsible for end-to-end logistics administration, covering import and customs documentation, shipment tracking, vendor coordination, cost management, and compliance. This role ensures that all inbound and outbound shipments are processed accurately, on time, and in full compliance with regulatory requirements, while supporting the broader logistics and supply chain team with data management and internal coordination.

Key responsibilities

Prepare, check, and compile all documents required for import permits and customs clearance, including Commercial Invoice, Packing List, and Bill of Lading / Air Waybill

Verify accuracy of product descriptions, HS codes, quantities, and declared values before submission

Submit documents to customs agents for declaration and follow up on clearance status

Resolve documentation discrepancies promptly to avoid shipment delays

Monitor shipment status from origin to final delivery and update internal stakeholders on progress

Coordinate with carriers, freight forwarders, and customs agents on ETAs and shipment milestones

Maintain accurate shipment tracking logs and status trackers

Verify freight invoices against agreed rates and contractual terms

Maintain shipment logs and operational trackers, primarily in Excel or the company ERP system

Ensure all import and export activities comply with Singapore customs regulations and trade requirements

About you

Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or a related field

Minimum 1–2 years of experience in logistics, freight forwarding, or import/export documentation

Strong attention to detail and accuracy in document handling and data entry

Proficient in Microsoft Office, particularly Excel, Word, and Outlook

Good communication and interpersonal skills; able to liaise effectively with external parties

Well-organised and systematic, with the ability to manage multiple shipments simultaneously

Able to work independently under pressure and meet tight deadlines

Proactive and solution-oriented, with a strong sense of ownership


Working Location : 52 Tanjong Penjuru.
