Role Purpose
The Executive Assistant to the Group Managing Director provides high-level executive, organisational and operational support to the Group Managing Director across a fast-paced international business environment.
This role requires exceptional organisational capability, professionalism, discretion, judgement and the ability to operate with pace and flexibility across multiple priorities, stakeholders, time zones and confidential matters.
The successful candidate will act as a trusted coordination partner to the Group Managing Director, supporting effective communication, diary management, meeting preparation, travel coordination, project follow-up and executive administration across the Group.
The role requires an individual who is highly proactive, commercially aware, detail-oriented and comfortable operating within a luxury hospitality and entrepreneurial environment.
Key Responsibilities:
Executive Support
Manage the Group Managing Director’s complex and fast-moving diary across multiple international locations and time zones
Coordinate internal and external meetings, ensuring effective scheduling, prioritisation and preparation
Prepare agendas, briefing notes, presentations and supporting materials for meetings and strategic discussions
Manage confidential correspondence, communications and documentation with professionalism and discretion
Draft and coordinate executive-level communications on behalf of the Group Managing Director
Ensure effective follow-up and tracking of actions arising from meetings and projects
Coordination & Communication
Act as a key coordination point between the Group Managing Director and Group Directors, General Managers and key stakeholders across the business
Support communication flow and alignment across international clubs and Group functions
Assist in coordinating leadership meetings, operational reviews, strategic workshops and Group projects
Maintain accurate records, reports and executive documentation
Travel & Logistics
Coordinate complex international travel arrangements, itineraries and accommodation
Support logistics relating to Board meetings, executive visits, openings and Group events
Manage expenses and executive administration in an accurate and timely manner
Project & Operational Support
Support the Group Managing Director with project coordination and execution of strategic initiatives
Assist in monitoring timelines, deliverables and follow-up actions across Group priorities
Help ensure high standards of organisation, communication and operational discipline within the Executive Office
Provide ad hoc support relating to presentations, reporting, research and business planning
Confidentiality & Professional Standards
Handle highly confidential and commercially sensitive information with absolute discretion
Operate with professionalism, maturity and sound judgement at all times
Represent the standards, culture and values of 67 Pall Mall in all interactions
Experience & Qualifications:
Previous experience as an Executive Assistant or Personal Assistant supporting senior executives, ideally within hospitality, luxury, international or fast-paced entrepreneurial environments
Experience supporting C-suite or Board-level executives preferred
Strong organisational and administrative capability with exceptional attention to detail
Excellent written and verbal communication skills
Highly proficient in Microsoft Office, Teams, PowerPoint and digital collaboration tools
Ability to manage multiple priorities simultaneously with pace and accuracy
Strong interpersonal skills with the ability to build relationships across all levels of the organisation
Professional, discreet and highly trustworthy
Comfortable operating in a dynamic and evolving international business
