ESMS Project Manager
RESPONSIBILITIES
PMO Governance and Operations
Reporting to the Project Director (PD), the Project Manager orchestrates the administration and operations of the Project Management Office (PMO) in support of the implementation of the Enterprise Student Systems.
Manage PMO operations, including staff onboarding and offboarding, Change Request (CR) administration, procurement coordination, and project communications.
Develop, maintain, and enforce project management processes, procedures, templates, and governance standards to ensure consistency and compliance.
Department Administration
Manage administrative, procurement, and operational matters at both departmental and campus levels.
Project Management
Develop and maintain project plans, schedules, documentation and reporting artefacts.
Monitor project progress, milestones, deliverables, risks, issues, and dependencies, and ensure timely communication and escalation where required.
Coordinate project activities and support the delivery of project objectives in accordance with agreed timelines and standards.
Secretariat and Stakeholder Management
Provide secretariat support for Project Steering Committee (PSC), Project Management Committee (PMC) and stakeholder meetings.
Coordinate meeting logistics, prepare meeting materials, record decisions and action items, and track follow-up actions to closure.
Project Governance and Standards
Establish, maintain, and gatekeep project governance and quality standards, including Risk Management, Change Management, Issue/Problem Management, Vendor Management and Quality Management.
Vendor and Contract Management
Support vendor relationship management and contract administration activities.
Monitor vendor performance, compliance with contractual obligations, project schedules, deliverables against contractual commitments and service standards.
Support project procurement and commercial management activities where required.
Documentation and Records Management
Oversee project management documentation, records, and repositories, ensuring accuracy, completeness, and compliance with established standards and audit requirements.
PREREQUISITES
Has university degree in Information Technology or Computer Science or equivalent.
Has at least 5 years’ hands-on experience in technology related project management.
Has hands-on experience in data analytics and dashboarding tools.
Is proficient in Microsoft Office, Word, Excel, PowerPoint, Project, SharePoint and Visio tools.
Possesses good time management and communication skills (written & spoken).
Is organised, resourceful, motivated, able to adapt to changes and thrive when facing challenges.
Able to work independently in a dynamic environment, work well in collaborative manner as a team lead and team player.
