Job description for Assistant Document Controller at CES-SDC Pte Ltd
Job Scopes (Key Responsibilities):
1. Document Control (Multi-System Environment)
• Manage and control documents across:
- Prolog (Client / Consultant submissions)
- ProjectWise (Main contractor ↔ Subcontractor coordination)
- Internal Project Server (official records & site access)
• Ensure consistency of document revisions across all platforms
2. Submission Management (Prolog)
• Prepare, upload, and track submissions including:
- Shop drawings
- Method statements
- RFIs
- Material approvals
• Monitor submission status and ensure timely responses from consultants
• Maintain accurate submission registers and logs
3. Subcontractor Coordination (ProjectWise)
• Control document flow between subcontractors and main contractor
• Ensure compliance with:
- Naming conventions
- Document formats
- Workflow procedures
• Perform checks before submission to client via Prolog
4. Drawing & Revision Control
• Maintain control of:
- IFC drawings
- Shop drawings
- As-built drawings
• Ensure only latest approved drawings are issued for construction
• Prevent use of outdated or superseded documents on site
5. Filing, Archiving & Handover
• Maintain structured filing system
• Support compilation of:
- QA/QC documents
- O&M manuals
- Final handover documentation
• Ensure documents are audit-ready at all times
6. Reporting & Monitoring
• Generate weekly/monthly reports:
- Submission status
- Overdue items
- Approval timelines
- Highlight delays and coordinate follow-ups with relevant teams
Requirements: (Qualification & Experience):
- Only Singaporeans
- Diploma / Degree in Engineering, Business Administration, or equivalent
- Minimum 2–3 years in document control for construction/infrastructure projects
- Experience in PUB / LTA / large-scale ECP (Engineering, Procurement and Construction), water treatment / plant projects preferred
- Hands-on experience with:
- Prolog
- ProjectWise
- Proficient in Microsoft Excel (trackers list)
- Familiar with engineering drawings and document workflows
- Strong attention to detail
- Ability to manage high-volume documents under tight deadlines
- Good coordination and communication skills
- Strong sense of accountability and ownership
- Familiarity with ISO 9001 documentation standards
- Experience in QA/QC documentation and audits
