Job description for Admin Support Executive - Operation & Maintenance at Envac Singapore
- Prepare and issue quotations in response to customer enquiries related to service, maintenance, repairs and upgrade works.
- Support the O&M team in following up on quotations and clarifying scope with customers where required.
- Process purchase orders (POs) for materials and services required by the O&M team.
- Coordinate with suppliers on RFQs, delivery schedules and order status to support site operations.
- Handle supplier invoices and billing matters.
- Liaise with the accounts team to ensure timely invoicing to clients, payment processing and proper record-keeping.
- Coordinate with site technicians on client work orders and daily operational requirements (e.g. inventory and spare-part withdrawal).
- Track and manage renewal of site equipment licenses and related documentation.
- Ensure all records are up to date, properly filed, and easily retrievable.
- Assist in implementing and maintaining digital systems, templates and processes to improve efficiency and accuracy, supporting the move towards paperless operations.
- Perform other tasks and duties as assigned by department leaders.
