Job description for admin assistant at GF+A Global Pte Ltd

Key Responsibilities

Provide general administrative and clerical support to the management team.

Maintain accurate filing systems and company records.

Prepare reports, correspondence, and other documentation as required.

Handle emails, and customer inquiries professionally.

Arrange and coordinate deliveries with customers, suppliers, and logistics providers.

Monitor delivery schedules and ensure timely fulfillment of orders.

Follow up on delivery status and resolve any delivery-related issues.

Perform stock cut and update inventory systems accordingly.

Report stock discrepancies and coordinate corrective actions.

Prepare and issue invoices accurately and promptly.

Verify sales orders, delivery orders, and supporting documents before invoicing.

Maintain invoice records and ensure proper filing.

Follow up on outstanding invoices and coordinate with customers when necessary

Monitor daily operational activities to ensure smooth workflow.

Coordinate with various departments to support operational requirements.

Perform ad hoc administrative duties and other responsibilities as assigned.

Requirements

Minimum Diploma qualification, or 3–5 years of relevant administrative experience.

Experience with inventory management and invoicing systems is an advantage.

Proficient in Microsoft Office applications (Excel, Word, Outlook).

Strong organizational, multitasking, and communication skills.

Able to work independently and meet deadlines.

Attention to detail and accuracy in data entry and record keeping.

Preferred Skills

Knowledge of inventory control and logistics coordination.

Experience using accounting, or invoicing systems.

Ability to prepare and process invoices, purchase orders, delivery orders, and related documentation accurately.

Good understanding of basic accounting and administrative procedures.

Excellent organizational and time-management skills with the ability to prioritize multiple tasks.

Strong attention to detail and accuracy in data entry and record keeping.

Effective communication and interpersonal skills to liaise with customers, suppliers, and internal departments.

Ability to work independently as well as collaboratively in a team environment.

Strong problem-solving skills and ability to handle operational issues efficiently.

Adaptable, proactive, and willing to take on additional responsibilities as required.

Ability to work in a fast-paced environment and meet deadlines.
