Job description for Vendor Coordinator at Pt. Pemad International Transearch
- Designs and carries out the activities related to vendor recruitment, such as advertising for applicants, identifying and contacting potential vendors, processing applications including organization of tests and evaluations, and entering details of successful applicants on company vendor database.
- Maintains relationship with vendors, manages performance, assists in negotiation of contractual conditions and keeps vendor data up to date.
- Involved in organizing and participating in events to promote company profile and relationships with vendors.
- Designs and develops neat, reliable, systematic and easy-to-read Supply Chain System, and Vendor Database
- At least 3 years’ experience in translation/localization/interpretation industry (vendor management experience preferred)
- Excellent negotiation skills
- Networking skills
- Highly organized and flexible with good time management
- Ability to prioritize and to work to tight deadlines
- Good experience of MS Office, especially Word and Excel
- Advanced knowledge of Internet searching
- General knowledge of supply chain management principles is a plus.
- Language skills. High level of spoken and written English.
- Communications skills: Correct communication in tone and style for each situation. Competence in e-mail, report, proposal and presentation preparation.
- Analytical skills: Able to analyze new and changing scenarios and adapt the workflow to the new requirements.
- Organizational/Managerial: Team building, scheduling, negotiations, conflict resolution, stakeholder management, delegation, motivational leadership.
- Financial skills: Thorough understanding of basic financial concepts (Gross Margin, Budgets, etc.)
- Desirable qualities: Flexible, imaginative, positive thinking, multi tasking, proactive and solution-oriented.
- Designing, developing, and coordinating recruitment activities and application processes for new translation, localization, interpretation, and localization engineering vendors
- Processing applications, organizing tests and evaluations and entering details of successful candidates on Vendor Database
- Carrying out rate negotiation and acting as main contact for non-project communications with vendors.
- Negotiating new and existing vendor contracts
- Instructing and training users/vendors to use the Vendor Database, invoicing template and other vendor administrative procedures in the most effective way
- Analyzing expenditure data to validate and strengthen the effectiveness of our cost control strategy, and provide the up-to-date vendor rate insights to Business Development and Marketing to determine pricing policy to client
- Developing expert knowledge and awareness of Pemad vendors and the vendor community in South East Asia in general, and Indonesia and Yogyakarta in specific
- Designing and developing vendor regular or interval evaluation system to analyze vendor performance, identifying vendor weaknesses and strength, and drive the overall vendor performance together with Quality Assurance Coordinator
- Establishing and developing standards and guidelines for vendors, monitoring vendors to ensure these policies are being followed
- Designing and developing neat, systematic, and easy-to-read Resource Supply Chain, and managing and developing neat, systematic and easy-to-use Vendor Database under General Management System (Pemad.international) or any other platform needed
- Cultivating and maintaining relationship with vendors by communicating with them frequently to answer questions and check satisfaction levels, or by organizing events for vendors
- Acting as a vendor consultant / advisor to Global and Local Coordinator or Project Managers in terms of project vendor selection
