Job description for Secretary/Assistant at PT. Procon Indo Sekata
- Managing diaries and organizing meetings and appointments, liaising with internal and external contact
- Assuming the duties of clerical and administrative support in order to optimize workflow procedures in the office
- Acting as first point of contact, prepare and manage internal and external correspondence, memos and forms
- Reminding the Executive of important tasks and deadlines
- Preparing communications on behalf of executive
- Ordering office supplies and replacements, as well as managing mail and courier services.
- Handling requests and queries appropriately
- Produce reports, presentations, and brief
- Maintaining good working space to ensure the wellbeing of the office
- Various ad hoc requests
- Proven work experience as a Secretary or Administrative Assistant (min. 1-2 years of experience)
- Ability to communicate effectively in English both oral and written
- Knowledge of office management systems and procedures
- Tech savvy, proficient in MS Office and Google Workspace.
- Outstanding organizational, and work management skills, including efficient planning and scheduling of work tasks and the ability to prioritize and meet deadlines
- Well organized, able to multitask and prioritize daily workload
- Ability to work under pressure in a fast-paced environment
- Initiative and self-management, including being proactive and solving problems independently
- Exceptional interpersonal and communication skills, including ability to listen properly in order to clearly understand and express oneself in a professional and effective manner
- Commitment to maintaining the confidentiality and adhering to company’s ethical norms.
- Practicing good business etiquette
