Job description for Project Executive at Iideas Pte Ltd
JOB DESCRIPTION
The Project Executive supports development of the event programmes and assist in the planning and execution of the project plans which outlines the event execution, resource management and delivery timeline. He/She provides regular status updates on the project plans to clients and all event stakeholders, including coordination with event suppliers/vendors.
Well-organised and resourceful, he/she is meticulous and has excellent multi-tasking skills. He/She is able to organise all details of the projects into a coherent and efficient project plan for execution. He/She is also able to make snap decisions to mitigate any issues arising from the execution of the project plans.
May be required to work irregular hours depending on the nature and schedules of the events. Frequent travels between office and event sites can also be expected to execute the events.
RESPONSIBILITIES
- To assist in the costing and production of the event proposal
- To document clients’ requirements with respect to event scope and objectives
- Support Project Manager in executing strategies and initiatives for clients and the company
- Account servicing and ensure excellent customer service
- To prepare draft project plans and event communication plans for internal review
- Responsible for planning, implementation and execution of all aspects of an event
- Coordinate delivery of project outcomes in accordance to project plans
- To ensure compliance with all relevant Health & Safety legislation and frameworks, including carrying out of risk assessments and developing safety plans for events
- Highlight and troubleshoot any implementation issues and deviations from project plans
- Monitor and ensure that event is executed within budget. Be responsible for all project budgets/costing once handover from sales team till project closure
- Analyse event performance metrics and post-event feedback to identify possible areas of improvement
- Prepare documentation in support of project closure, coordinate with finance on clients’ invoicing and payment
- Coordinate/liaise with supplier and vendor to ensure delivery of tasks
- Traveling to site visits/recces; and managing successful event execution
- Any ad-hoc tasks as assigned
REQUIREMENTS
- Diploma and Degree holders of any relevant field of studies, with keen interest in event
- Both Fresh graduates and Experienced candidates are welcome. Salary commensurate with experience
- Good learning attitude and keen to take on new challenges
- Good communication skills and hardworking
- Team-player with initiative and willing to take on responsibilities
- Meticulous and able to multi-task
- Able to manage multiple projects at one time
- Able to work irregular hours or on weekend/Public Holidays should the need arise
- Proficient in MS Office applications (Microsoft Words / Excel / PowerPoint)
- Commission-based
