Job description for Operation Lead at Penguin Secret Agency PTE, LTD
Role Purpose:
The Operations Lead serves as the operational engine of PSA in Vietnam. This role is responsible for driving cross-functional process optimization (SOPs), eliminating operational bottlenecks, and ensuring all company initiatives across E-commerce, R&D/Tech, and Administration are delivered on schedule and with high quality.
Key Responsibilities:
1. Process Standardization & Systems Optimization (SOPs):
● Design, codify, and continuously upgrade Standard Operating Procedures (SOPs) across departments, including Brand/Dropshipping, Tech/R&D, and Admin/Finance.
● Analyze operational data to identify bottlenecks and implement immediate corrective actions.
2. Project Delivery & Cross-Functional Alignment:
● Track project milestones across key company initiatives using project management suites (Notion / ClickUp / Jira).
● Coordinate workflows across functional teams and resolve resource or schedule conflicts to maintain On-Time Delivery (OTD).
3. Risk Management & Performance Reporting:
● Identify potential operational risks (supply chain delays, technical development lag, staffing bottlenecks) and establish contingency plans (Plan B).
● Prepare weekly and monthly operational performance reports directly for the Board of Directors.
Candidate Profile & Requirements:
● Experience: 3–5 years of experience as an Operations Lead or Operations Manager within Cross-border E-commerce, scale-up Dropshipping ventures, or Tech Startups.
● Mindset: Strong systematic thinking, data-driven mindset, and logical approach to problem-solving.
● Tech Stack: Proficiency in project management and productivity tools (Notion, ClickUp, Jira, Miro, Slack).
● Languages: Professional English proficiency (IELTS 6.5+ equivalent) for technical reading, writing, and professional communication.
● Soft Skills: Sharp communication, strong execution capability, high accountability, and the ability to drive teams toward execution.
