Job description for Human Resources and Operations Assistant at Oon & Bazul LLP
Oon & Bazul is looking to hire a Human Resources & Operations Assistant. The Human Resources & Operations Assistant will report to the Assistant Human Resources Manager and help to (1) execute Human Resources strategies and initiatives that are aligned with the firm’s business plans (2) attract, engage and retain talent, (3) maintain a positive and productive working environment and (4) oversee the operations of the firm.
The general scope of work includes but is not limited to the following: -
1) Maintain employee records for both Singapore and Malaysia offices
2) Assist with the recruitment process by posting job advertisements, identifying candidates, scheduling interviews, administering written tests, performing reference checks, issuing employment contracts, and liaising with recruiters
3) Prepare materials and conduct orientation for newly hired employees, interns and trainees
4) Prepare and process documentation for various Human Resources functions (talent management, performance management, compensation & benefits, learning & development, governance & compliance, and staff welfare)
5) Assist with performance appraisal procedures for employees and interns
6) Schedule and liaise with respective vendors/schools for recruitment fairs and other Human Resources events/training/seminars
7) Ensure that any subscription the firm is undertaking has been applied for, renewed and/or terminated promptly
8) Prepare cost proposals for all purchases and repairs and coordinate with vendors/suppliers
9) Serve as point of contact for most Human Resources and Operations related issues, rules, and regulations
10) Maintain high confidentiality on all Human Resources related matters
11) Keep up-to-date with the latest Human Resources trends and best practices
12) Assist with daily operations of the Human Resources department
Requirements
· Minimum 2 to 3 years of experience in Human Resources, preferably in a Professional Services industry.
· Diploma in Human Resources Management or equivalent work experience required.
· Proficient in Microsoft Office
· Good knowledge and understanding of Human Resources functions, best practices and labour laws
· Excellent interpersonal skills
· Resourceful, Inquisitive and Organised
· Ability to handle multiple projects and deliver quality work under pressure and within deadlines
· Ability to communicate and work effectively with internal and external stakeholders
