Job description for Finance and Administration at PT Vylera Labs Indonesia

PT Vylera Labs Indonesia is looking for a meticulous, organized, and highly capable Finance & Administration Officer to join our team. In this role, you will be fully responsible for managing the invoicing and billing cycle, supporting corporate tax administration, preparing commercial quotations, and ensuring that day-to-day office administration runs smoothly and efficiently.

Key Responsibilities:

  • Create, validate, and send accurate invoices (Sales Invoices) to clients or business partners in a timely manner, in accordance with employment contracts, Purchase Orders (PO), or commercial agreements.
  • Regularly monitor the company's Accounts Receivable (AR) and conduct professional follow-ups with clients regarding payments that are approaching or past due.
  • Prepare weekly or monthly reports regarding invoice status (paid, in progress, or pending).
  • Assist in preparing the supporting data required for the company's periodic tax reporting (VAT/PPN and Income Tax/PPh).
  • Prepare and draft Quotations or commercial price proposals based on instructions, pricing schemes, or technical specifications provided by the sales team or management.
  • Ensure the aesthetics, mathematical accuracy, and formatting of business proposal documents are uniform, professional, and free of typos before being sent to prospective partners/clients.
  • Manage the database/history of sent quotations and update their status once approved or revised.
  • Handle and draft all official office correspondence and documentation.
  • Manage the incoming and outgoing flow of physical and digital mail, and implement an archiving/filing system that is neat, structured, secure, and easily accessible when needed.
  • Assist with other general daily administrative tasks to support the overall operational efficiency of the team.

Qualifications & Requirements:

  • Education: Minimum Bachelor’s Degree (S1) in Accounting.
  • Experience: 1–3 years of professional work experience in Finance, Administration, or Accounting.
  • Proficient in Microsoft Office, especially Ms. Excel for data processing and basic accounting functions.
  • Good understanding of basic taxation (VAT/PPN, PPh 21, 23, etc.) and invoicing/quotation workflows
  • Highly detailed, honest, meticulous, and possesses strong mathematical/analytical accuracy.
  • Excellent and professional communication skills (especially when following up on client payments).
  • Strong time management skills with the ability to work under tight deadlines.
  • Well-organized with an orderly approach to document filing and archiving.
